About this episode
With equipment margins thin and unpredictable, service is often the most controllable profit in a dealership. It’s often treated as a technician problem, but it starts long before a tech turns a wrench: getting customers in, finding the extra work and bringing them back.
Alex Clementi, who spent a decade working with service departments, walks through the four tools he’d use. For service managers and owners who want a healthier shop.
What you’ll hear
- Find the work that’s already there. A free walk-around inspection on every work order turns up repairs before the customer leaves.
- Sell the next service at the sale. Prepaid maintenance plans give you a standing reason to call.
- See performance now, not next month. A live dashboard tracks productivity, efficiency and recovery across locations.
- Recovery is a team metric. Dwell time between write-up, parts and dispatch is labor nobody bills.
- Fill a thin schedule. AI Smart Campaigns finds customers who are due and brings them back.

The conversation, section by section
Every lost labor hour is $100, $200 of revenue that’s been lost.
Alex Clementi, Senior Pre-Sales Consultant, Flyntlok
In a market where equipment sales margins are thin and unpredictable, service revenue is often the most controllable source of profit in a dealership. It’s still widely misunderstood: treated as a technician problem, when it really starts long before a technician turns a wrench.
Meet Alex Clementi
Before Flyntlok, Alex spent a decade with service departments, including as a solutions engineer at Decisiv, a cloud-based service relationship management platform. He thought he knew how important service was to a dealership and found he had underestimated it, from hitting the absorption rate to staying profitable.
The reality: service chaos
Job jackets everywhere, sticky notes on every surface, notes that fell out of the jacket, details in someone’s phone or head. As Alex says, once you get behind, it’s tough to catch back up.
Finding additional work: digital walk-around inspections
Build your 10 or 20 point walk-around into Flyntlok as a default job on every new work order. Techs fill it out on mobile, with voice-to-text or pass and fail fields that can add the right repair line automatically. Alex recommends doing the walk-around at no charge: it takes little time, and anything it turns up is upside.
Retaining customers: prepaid maintenance plans
Sell maintenance with the machine and collect it up front. Flyntlok tracks schedules by unit, a nightly update flags upcoming or overdue maintenance, and the service team calls to book it. Every visit is another chance to work with that customer.
Executing efficiently: the real-time service dashboard
Many shops pull data into a spreadsheet and present last month’s numbers ten days after the month ends. Flyntlok’s service dashboard shows productivity (hours clocked versus hours available), efficiency (billable hours versus hours clocked) and recovery live, across every location.
The hidden profit metric: recovery rate
Recovery compares the hours you bill with the hours a tech is on payroll, and Alex puts a price on the gap: every lost labor hour is $100 to $200 of revenue. It isn’t just the tech’s problem. Dwell time, when a work order sits in a status it doesn’t need to (write-up to dispatch, dispatch to parts approval, parts arrival to the tech being told), is time that never gets billed.
Driving new business: AI Smart Campaigns
When the schedule looks thin or customers haven’t been back, Smart Campaigns builds the list, writes the message and schedules the outreach, work that used to be done by hand. Instead of waiting for the phone to ring, the dealership fills the schedule.
The payoff: communication and visibility
If he could fix one thing, Alex picks two: communication and visibility. Information can’t live in someone’s head or on a sticky note. The walk-around helps with both: it starts a structured conversation with the customer and puts what the tech found into the system.
Building a healthier service department
Inspections, maintenance plans, a live dashboard and Smart Campaigns together mean more work found, more customers back, more labor hours recovered, and problems caught in real time instead of a month late.

What dealers ask
Got a topic for the show?
Suggest a topicWhat is a service recovery rate?
It compares the labor hours you bill with the hours your technicians are on payroll. Alex Clementi calls it a department-wide metric, because time a work order spends waiting on write-up, parts or dispatch is labor nobody bills.
How can a dealership grow service revenue?
Find more work with a walk-around inspection on every work order, sell prepaid maintenance at the point of sale, track productivity, efficiency and recovery live, and use campaigns to bring customers back.
Should a dealership charge for a walk-around inspection?
Alex Clementi recommends doing it at no charge. It takes a few minutes, and any repair it turns up is added service revenue.
