About this episode

Every dealership has lived both sides of it: out of a critical part in peak season, or shelves full of inventory nobody has touched in a year. Most stocking decisions still run on spreadsheets, tribal knowledge and gut feel.

Dean Frederick, who spent over a decade on the dealership side, including the parts counter, walks through Smart Stocking in Flyntlok’s Purchasing Hub. For parts managers and owners watching cash tied up on the shelf.

What you’ll hear

  1. Static min/max goes stale. Demand changes every year, but thresholds set once rarely do.
  2. Seasons make it worse. Fuel filters sell more in a New England winter, and static levels miss it.
  3. Smart Stocking is math. Your full parts sales history, calculated per vendor and updated every day, across every part number.
  4. You approve every order. Recommendations are a starting point you review and adjust.
  5. Better stocking, better cash flow. Less aging inventory, fewer emergency orders and healthier parts margins.

The conversation, section by section

We’re not taking that control out of your hands. We’re just providing a tool to help you make decisions.

Dean Frederick, Senior Implementation Consultant, Flyntlok

Every dealership has lived both sides of the same problem: running out of critical parts in peak season, or walking past shelves of inventory nobody has touched in a year. Stocking enough to meet demand without tying up cash is one of the biggest balancing acts in the business.

Meet Dean Frederick

Dean spent over a decade on the dealership side, including time on the parts counter, before joining Flyntlok. He remembers a customer with a gray market mini excavator who kept giving him the serial number of a machine he no longer owned. The part came in wrong three times.

What inventory planning looks like today

Most dealerships use min/max: at least four on hand, never more than ten, set once and left alone. Across thousands of part numbers, those numbers go stale. As Dean puts it, the data is constantly evolving.

Peak season makes it worse

Dealers in New England sell far more fuel filters in winter, when fuel gels in the cold. If nobody adjusts stocking for the season, you’re either overstocked in the slow months or caught short when demand hits.

What Smart Stocking is

Dean puts it simply: Smart Stocking is a math equation. It looks at your complete parts sales history, runs a calculation customized per vendor and updated every day, builds in seasonality and covers every part number in your system, not just the ones you’re watching.

A look inside the product

In the Purchasing Hub, every location and vendor sits on one screen with recommended stock order demand. Dean creates a draft stock order for a vendor and location and lands on a worksheet: part numbers and descriptions, quantity on hand and cost, the recommended quantity, the order quantity you set and a running total.

The human is still in the loop

Smart Stocking doesn’t place orders for you. If it recommends a transmission because three sold last year, a parts manager can decide that doesn’t justify keeping one on the shelf. We’re not taking that control out of your hands, Dean says.

Where dealerships feel the value

Time first. Dealers see the recommendations and recognize the parts they’d normally stock, plus some they hadn’t thought about in a while. The hours spent updating min/max by hand go away.

The payoff

Less stale and aging inventory, better cash flow, fewer emergency orders, faster purchasing decisions and healthier parts margins, built on math instead of gut instinct.

What is Smart Stocking?

A Flyntlok tool that recommends stock order quantities from your own parts sales history. The calculation is customized per vendor, updated every day, includes seasonality and covers every part number.

Does Smart Stocking place orders automatically?

No. It builds a draft stock order with recommended quantities, and your parts manager reviews, adjusts and approves it.

Why do min/max levels stop working?

They’re set once, but demand changes from year to year and season to season. Static levels leave you overstocked in slow months and short in peak season.
