I’m your host Jenny Moebius, Flyntlok’s CMO, and today we’re diving into one of our newest AI-powered products: Smart Campaigns, which solves a problem near and dear to my heart, one that nearly every equipment dealership has: 

there is revenue sitting inside your customer data (purchase data, service data, equipment data), but turning that data into consistent, relevant outreach is usually slow, manual, or simply not happening.

Your dealership already knows who bought a machine, when a warranty is approaching expiration, which customers have not returned for service, what equipment they own, and which models they are interested in. But that information often sits quietly inside customer records, work orders, spreadsheets, or a salesperson's memory.

So today we’re going to break down:

Equipment dealerships have years of valuable customer, purchase, service, and equipment data at their fingertips. They know who purchased a machine, what equipment customers own, when warranties are approaching expiration, which customers have not returned for service, and which models or attachments may interest them next.

But having that information is not the same as acting on it.

In Episode 6 of Flyntlok Unlocked, host and Flyntlok CMO Jenny Moebius sits down with Customer Success Lead Brandon Weaver to explore why valuable dealership data often goes unused—and how AI-powered Smart Campaigns can turn it into timely, relevant customer outreach.

The episode follows the complete Smart Campaigns workflow, from identifying the right audience and creating a personalized message to capturing customer responses, generating Leads, and handing the conversation to a dealership employee.

Why Dealership Customer Data So Often Goes Unused

Most dealerships recognize that they should be communicating with customers more consistently. The challenge is knowing where to begin.

Without a connected tool, creating a targeted campaign can require employees to export reports, cross-reference purchase and service records, build spreadsheets, and manually identify the customers who meet a particular set of criteria. Information may be divided among the DMS, a third-party CRM, individual reports, spreadsheets, and even a salesperson’s memory.

For example, a dealership may want to identify customers who purchased a machine but have not returned for service. Finding those customers could require combining sales history, machine ownership records, and completed service history. The campaign is possible, but building the audience can quickly become a full-time job for employees who are already serving customers and managing daily dealership operations.

Writing the right message adds another barrier. Employees must decide what to say, make the message relevant to the audience, review the details, and determine when and how it should be sent. Faced with that amount of manual work, customer outreach is often delayed, sent inconsistently, or abandoned altogether.

That can leave meaningful revenue opportunities untouched across the dealership:

  • Service appointments that are never scheduled
  • Parts and attachment opportunities that are never surfaced
  • Equipment trade-in and replacement conversations that never begin
  • Warranty-expiration opportunities that pass unnoticed
  • Rental customers who are never encouraged to return
  • Customer relationships that weaken through a lack of communication

The alternative, sending a broad message to every customer, can be equally damaging. A customer may receive a promotion for a manufacturer they do not own, a service reminder immediately after visiting the dealership, or an offer that has no connection to their needs.

Instead of strengthening the relationship, irrelevant outreach can make customers feel that the dealership is not paying attention.

The Goal: The Right Customer, the Right Message, at the Right Time

Smart Campaigns was designed to close the gap between what a dealership knows about its customers and what it does with that information.

Brandon describes Smart Campaigns as a way for dealerships to use their own data to bring customers back through the door. AI helps identify a precise customer audience and create a relevant message for that group. The dealership can use the resulting campaign to generate opportunities across service, parts, equipment sales, rentals, trade-ins, and other areas of the business.

The goal is not to send more messages. It is to make customer outreach more targeted, personalized, timely, and easier to execute.

Employees still choose the business objective, review the audience, control the offer, approve the message, and personally continue the customer conversation. AI helps remove the manual work that often prevents the outreach from happening in the first place.

Building a Targeted Audience With AI

During the episode, Brandon demonstrates how a dealership can build a Smart Campaign from beginning to end.

Smart Campaigns is located within Flyntlok’s CRM menu. The campaign dashboard provides high-level performance metrics, including:

  • Total campaigns
  • Messages sent
  • Response rate
  • Leads generated
  • Lead ratings
  • Total audience reached

Employees can also review previous campaigns, including when they began, who created them, and their current status.

To create a campaign, Brandon begins with a service objective: encourage customers to bring their machines into the dealership for service.

Instead of writing a database query or combining reports, he describes the desired audience in plain language:

Customers who own a machine but have not been in for service in three months.

Flyntlok interprets the request, searches the dealership’s existing data, and produces a customer list that includes relevant contact and machine information.

Brandon then shows how easily the audience can be refined. He adds that the customers should own a Bobcat machine, reruns the search, and receives a narrower list. He further limits the audience to customers with an Alaska phone number to demonstrate how dealerships can incorporate geographic criteria.

Within seconds, the campaign has moved from a broad idea to a highly specific audience: customers in a defined area who own Bobcat equipment and have not had service completed within the past three months.

Dealership employees can be as broad or specific as the campaign requires. The audience prompt can be refined using manufacturer, model, location, purchase history, service history, rental activity, or other information already stored in Flyntlok.

Employees can also give the search a thumbs-up or thumbs-down and submit feedback. That feedback goes directly to the Flyntlok product and development teams, helping improve the experience as dealerships use it.

Creating a Relevant Campaign Message

After confirming the audience, Brandon moves to the campaign-message builder.

Employees can reuse a saved template from a successful previous campaign or ask AI to generate a new message. As with the customer search, the employee describes the intended message in plain language.

For the demonstration, Brandon enters a short request offering customers 10% off service for their machines during the summer. Smart Campaigns turns that prompt into a complete, personalized SMS message.

The message automatically incorporates relevant details, including:

  • The customer’s first name
  • The dealership employee’s name
  • The dealership’s name
  • The customer’s specific machine model
  • The offer and intended next step

A phone preview shows exactly how the message will appear to the customer. The employee can edit the copy, name and save the template, and add an image or promotional graphic.

The demonstration illustrates an important point: employees do not need to begin with a perfectly written marketing prompt. A short explanation of the offer is enough for AI to create a usable first draft. That removes another common obstacle for dealership teams that know what they want to promote but may not have the time or marketing resources to write every campaign from scratch.

Keeping the Dealership in Control

Before anything is sent, Smart Campaigns provides several review and control steps.

An AI-assisted review examines each outgoing message for issues such as grammatical mistakes or duplicate information. In the demonstration, the generated message initially repeats the customer’s machine model. The review identifies the duplicate, recommends a correction, and allows Brandon to accept or edit it.

Employees can also send a test message to themselves before launching the campaign. This provides an opportunity to see the message on an actual phone, verify the personalization, and confirm that any included image appears correctly.

The dealership can send the campaign immediately or schedule it for later. An employee could use a slower morning to prepare several campaigns and schedule them throughout the week or plan seasonal outreach well in advance.

Jenny also previews a future recurring-campaign capability intended to make certain outreach even more automatic. A dealership could eventually define a condition, such as customers who have not returned for service within a certain period, and allow the system to identify matching customers on an ongoing basis.

When the campaign is ready, Flyntlok displays a final confirmation showing how many messages will be sent and reminds the employee that the action cannot be undone.

Turning a Customer Response Into a Revenue Workflow

Once the demonstration campaign is sent, Jenny and Brandon receive the personalized message and reply as customers.

When a customer responds, AI analyzes the response and sends an immediate initial acknowledgement. In Jenny’s example, she replies that she is interested. She promptly receives a personalized confirmation explaining that someone from the dealership will contact her to schedule service.

That immediate response matters because the customer knows the dealership received the message and intends to follow up. But the episode makes an important distinction: Smart Campaigns is not intended to replace the human customer relationship with an extended AI conversation.

After the initial acknowledgement, the response becomes a Lead inside Flyntlok. The dealership employee takes over the conversation personally, answers questions, schedules the appointment, and builds the relationship.

Within the campaign report, the dealership can see:

  • How many messages were sent
  • How many customers responded
  • Whether any delivery errors occurred
  • How responses were rated
  • Which Leads were generated
  • The complete customer activity associated with the campaign

Flyntlok automatically creates and names the Lead using relevant context such as the customer, machine, promotion, and campaign purpose. It also identifies that the Lead originated from an AI-powered Smart Campaign and gives the response a rating indicating how likely it may be to translate into an opportunity.

The employee can open the Lead, review the full message history, and continue the conversation from exactly where the customer left off. Tasks can also be created to assign ownership and make sure follow-up happens.

This is the moment when Smart Campaigns moves beyond being a marketing broadcast. The campaign creates customer interest, but the connected Lead, conversation history, ownership, and tasks turn that interest into an accountable revenue workflow.

Practical Campaigns Dealers Can Try

Smart Campaigns can support outreach across nearly every dealership department. Potential campaigns discussed during the episode include:

  • Seasonal service promotions
  • Winter service specials during slower periods
  • Warranty-expiration reminders
  • Trade-in and equipment-upgrade campaigns
  • Attachment and accessory offers
  • Outreach to inactive service customers
  • Follow-up after a recent equipment purchase
  • Rental-customer re-engagement
  • Offers based on equipment ownership or sales history
  • Regional promotions and dealership events

Brandon recommends starting with a specific business problem or opportunity that has previously been difficult to act on. A dealership experiencing a seasonal service slowdown, for example, could begin with a targeted winter service campaign.

Jenny shares an example of a dealership that sent approximately 100 trade-in messages and received 25 responses. That represents 25 potential revenue conversations the dealership did not have the day before.

Responses do not have to be immediately positive to create value. Outreach may surface a dissatisfied customer or reveal a problem the dealership did not know existed. That gives the team an opportunity to address the concern, repair the relationship, and potentially prevent the customer from turning to a competitor.

Making the Data Dealers Already Have More Valuable

The central takeaway from the episode is that Smart Campaigns is not about encouraging dealerships to send more texts. It is about making the customer information they already possess useful.

Dealers have spent years building customer relationships and collecting valuable context:

  • What customers own
  • What they have purchased
  • How their machines have been serviced
  • When they last visited
  • What they may need next

But that data cannot produce value while it remains buried in records, reports, spreadsheets, shared inboxes, or employees’ memories.

Smart Campaigns uses AI to help employees turn that information into timely, relevant customer conversations without spending hours building lists and drafting messages. It helps dealerships reach the right customer with the right message at the right time—and then creates a clear path for a person to continue the relationship.
