New Features

Work Order Estimate Approve/Reject

Customers can approve or reject estimates via email. First, send them an estimate!

Once Send Request is clicked, the customer will get an email where they can approve or reject each job on the work order. If the estimate it Approved, the approve icon will appear on the estimate.

The customer can also Reject the estimate, and they now have the option to provide you a reason for rejecting.

 

Once a customer has taken action on an estimate, the user that sent the estimate will be notified.

Add A Customer During Creation

Service Dashboard: Goal Editing

You can change service department goals on the dashboard.

Service Dashboard: Recovery Rate

Recovery Rate, an important metric, has been added to the Service Dashboard. The calculation: Billable Hours / Actual Hours

Service Dashboard: Rework Tracking

For a work order to count as rework, set the job category as rework. Rework percentage is shown on the service dashboard!

Service Dashboard: Company Overview

A total section has been added to the bottom of the service dashboard. If your business has multiple locations, a company average will be shown in this section.

Naming Standardization

The note field headings have changed. We are working to standardize our names and add better descriptions!

Rearrange General Section

The general section has been rearranged. It will be easier to view on small screen. Scheduled Start, Scheduled End and Work Period  have been combined into one line: Scheduled. The rest of the section has been split into two columns.

When you edit the information. The box will expand, allowing you to enter the data!

Machine & Customer Prefill

When a work order is generated from either the machine or customer dashboard, we will prefill as much form information as possible. Creation will now take place on the new work order form instead of the pop-up.

If you are renting items, you will see a badge on the item dashboard letting you know how may items are currently on rent.

Unread Message Count

The Actions Tab has an icon showing you unread notifications. Once you open the tab, this icon will disappear.

Text2Pay will default to the contact on the sales order.

The SMS field will also default to the contact on the sales order.

Bond Loyalty

An All Offers tab has been add to the bond loyalty tab. The search bar can be used to filter results.

PO & voucher label printing

Labels printed from a PO will print a label for every part on the PO. Labels printed from a voucher will only print labels received on that voucher!

Stock/Inventory Ordering

A returnable column has been added to the stock order form. If an item is not eligible for return, select no! If an item has been set as Non-Returnable on the item dashboard, the field will will default to no.

Item number editing requires special permission. If you see a greyed out box, you do not have permission to edit item numbers.

New Features

Work Order Estimates

We have added a simple way to create estimates in the work order system. The first step is to create a work order with all of the parts and estimated labor. Then, switch to the Estimates Tab and click Create Estimate.

You can create as many estimates as you need. Each estimate is a snapshot of the work order and cannot be edited. If an adjustment is needed, adjust the work order, then create a new estimate. To send this information to the customer click Actions -> Send Request

Work Order Files and Forms

We have a section on the Info Tab for Files and Forms. Both the Files and Associated Forms section will show all files and forms that are on the work order, organize by job.

Model Creation

Previously, you had to leave the work order to create a new model. We have added the ability to create a new model from the info tab of a work order.

Sales Order Subheading

Line item description on sales orders are important, and should be shown on the work order. The subheading of the parts section will be the line description on the sales order. Instead of the description from the item dashboard.

Restricting Job Deletion on Work Orders

If a job has labor or parts it cannot be deleted. To delete the job you must move the parts and labor to a different job.

Accounting Help

We have added a caution sign to rental contract lines with accounting problems. Helping you to identify configuration issues before they happen. In this case, the contract will not bill because it is missing the rental income field. Caution signs will not stop your rental department from checking out a line! Accounting settings should be set on the vendor dashboard or the machine/item dashboard.

If you overlook the caution sign and click Create Interim Invoice, you will get another popup to help identify the problem.

Rental Contract Closing

If you close a rental contract, and no further billing is needed, we will not generate a final invoice. Be sure to check that your line item billing duration matches what has already been billed.

Rental Invoicing

Rental Invoicing has been made into a two step process to improve transparency. When you click Create Interim Invoice you see the first modal. Here, you will set the Billing Period and Billable Duration that will show on each line of the next screen.

On the second screen, you can adjust each line as needed. Now you will know exactly what information will be on the invoice. The information on this screen shouldn't need to be edited unless an item on the contract was checked in early! Also, you can specify which contract you apply the delivery/pickup fee to.

 

QuickBooks Customer Linking

If you have a large amount of QuickBooks customers, you may have noticed a long load time when linking them from the customer dashboard. We have made it much faster and easier. Just type the first 4 letters and we will search for a match!

Bulk Item Label Printer

We added the bulk item label printing option to receiving vouchers. This button will only print labels for the items that were received on the voucher.

Customer Welcome Email

When new customers are added to Flyntlok, you can send them a welcome email! Check the Send Welcome Email to New Customers box in Flyntlok details and be sure to add a Contact Email to the customer profile. This will only apply to newly added customers.

Multiple Sales Orders Found

To offer custom sales order ID's, there had to be a small number of sales orders with overlapping ID's. If you search for an id that was duplicated, a modal will display both sales orders. This modal will appear less and less as these sales orders are closed out. Below, I searched S846625.

Text2Pay

For a short period of time, Text2Pay was not recording the time that payments were received. We are now recording the time when a customer pays using the Text2Pay link!

Tax Type Form Editor

We introduced a tax item searcher on the tax editor. Also, instead of using the item internal id, you can use the item number. This searcher will only find items with Tax in the item number.

Machine ID's

Editing custom machine ID's now requires special user permissions. This will prevent unauthorized people from accidentally changing the machine ID. If you see a greyed out box, you do not have permission!

Auto Prefix/Postfix Machine ID's

Machine IDs can automatically generate with a prefix or postfix. If your company wants all excavators to have "EX" before the unit number. Add "EX" in the prefix section on the model page.

Let's add the prefix "AB" to all of our 6" Auger Bits. On the model page:

Once added, unit numbers for 6" Auger Bits will be prefixed with "AB". If you would like to update machines already in your inventory, please contact the consulting team.

Machine Creation Update

The first screen shows the minimum information needed to create a machine.

Each grey dropdown contains information that can be added if needed.

Sales Order Copying

In the past, only company administrators could copy sales orders. We are opening this feature to all users.

Sales Order PDF

Work Order Information

The Complaint, Cause, and Correction will display as line items on sales orders. This upgrade will give customers more information about the repair process.

Vendor Information

Vendor information will show on sales orders. This helps when quoting or selling aftermarket parts.

Sales Order Customer Contacts

If a contact is selected in the details tab it will show on the sales order.

Quote Expiration

The quote expiration date has been added to the sales order PDF.

Fulfilled Date

Fulfilled date is when payment terms begin. If the Fulfilled date on an invoice is 9/22/2021 and customer is on net 30 payment terms. Payment for the invoice would be due on 10/22/2021.

Rental Updates

Rental Invoicing Dates

We have smoothed the rental invoicing process. If the information on an interim contract is incorrect. Delete the invoice, correct the information on the contract, then generate a new invoice. When you create a replacement invoice it will respect the previous dates.

Consumables

The new rental system supports consumables. Consumables help track charges such as tire wear, cutting device wear, and fuel.  These can be setup on a per-contract basis.

Consumables are added to line items by clicking the Action button.

Then add the consumables. In this case, Diesel Fuel.

During check out, a quantity will need to be set.

A quantity will also need to be set on check in. The difference in quantity will be added to the final bill. In this case, 6 gallons of fuel will be charged.

Work Order Updates

Work Order Machine Assignment

In the past, only one machine was allowed per work order. This worked great until a customer dropped off a chain saw, pole saw, and weed wacker. Now you can add multiple machines to a work order. To do this, click "Multiple" on the work order creation screen. Then add machines to each job.

 

Then, you will be able to add a machine to each individual job.

Clocked in list

Click the Info Tab to see a list of people that are clocked into a work order.

 

Technician Notes

The customer will not see any notes that are added in the "Notes" section.  However, after the notes have been reviewed, you can add them to the correction section by clicking the "Add to Corrections" button.

Work Order Sections Stay Closed

When you minimize a section on the info tab of the work order page, it will remain closed until you open it again.

Parts Transfers

Parts invoices can be transferred between jobs. The jobs can even be on different work orders. Click the transfer button on the management tab to preform transfers.

Work Order Permissions

Certain work order actions only need to be available to select users.  Below is a list of actions that can be limited. The limits can be set on the Authorized Users tab by your company Flyntlok administrator.

New Rental System Updates

Rental Contract E-Signing

From a rental contract, select "Request Signature" from the actions dropdown.

Then input the customers' email on the pop-up.

The customer will receive an email prompting them to e-sign the contract.

Then, the customer can sign the contract.

 

Rental Kits

Beta users can configure Kits from the Models page. To create a Kit from scratch, first, create a Model. Then edit the model and scroll down to the recommended items section.

 

Remember, only items that are marked rentable will show in the searcher.

Delivery And Pickup Information

If you leave the box blank, the rental delivery fee will show TBD instead of $0.  This allows you to bill the customer after the delivery has occurred.  In this case, we recommend having your rates listed in the terms of the contract.

Associated Salespeople

You can now associate more than one salesperson to a Customer. This can be helpful if a customer has a salesperson and a PSSR.

Flyntlok Surveys

You can now see the last time a customer was surveyed on the customer's dashboard.

Vendor Searching

We have updated vendor searching from the search bar. It should be faster and show better results than before!

BETA Work Order Updates

By request, we have been moving users over to the new work order system. Thank you for all the great feedback! Please submit a ticket if you would like to start using the new system.

Recommended Jobs for John Deere and Hitachi

After creating a work order for a John Deere or Hitachi machine, we will look for open PIPs. If any are found, they will be listed just below the Add Job button in the new Recommended section of the work order.

Once you select a recommended job, we will pull information directly from John Deere like the PIP title, type, and even the items needed for PIP. If you choose to create the job, we will also create the internal parts order with the required parts for the job.

Job Templates

In order to save you time on creating templates for common jobs, you can now create a job template directly from a job you have on a work order.

Complaint, Cause, Correction

In our new work order, we have moved away from work requested and work done on jobs to a complaint, cause, and correction structure. This gives the opportunity to input the customer's complaint, then the technician's analysis of what caused the problem. The correction field will be used to communicate the work done. Only complaint and correction are required.

Disabled Actions Labels

Description labels appear when a button is disabled to give insight as to why the button is disabled.

Banners are back! After getting a new look, banners are being reintroduced to update you on important information.

BETA Rental Updates

We will soon be adding more customers to the new rental system. Here are some of the new features that will be available!

Rentable Items

We now support renting out items. To make an item rentable, you will need to edit the item and check the Item Can Be Rented box.

While you are there, you can add rent schedules to cover all of your pricing structures.

Rental Kits

A rental kit consists of one machine and a group of items that must be rented together. An example of this is renting a serialized air compressor with a hose and pressure regulator. The air compressor is the serialized machine, while the air hose and pressure regulator are optional items. When adding the machine to the rental, you can choose the amount of each item you will rent with the machine. These items will then be pulled from inventory when checked out, then added back to inventory when checked in.

Flyntlok Surveys

Customizable Email Templates

We now support customized email templates on each survey template that you send out. If you are interested in adjusting your email template or learning more about our survey system, please reach out to consulting@flyntlok.com!

Store Specific Surveys

If you are a multi-store company, you can now configure your surveys to only send when the sale is closed at a certain store.

Allocation on Receipt

When stock orders are received, Flyntlok will help find where they will be used best. If you have outstanding special orders for the same part; you will be able to move the stock order part onto the special order from the receiving pop-up.

Required Drivers License Information

Flyntlok now automatically checks to see if your rental customers' licensing is up to date. You can continue with the rental on a case-by-case basis.

 

To implement this check at your business go to the Wrench->Flyntlok->Flyntlok Details. Then under the rental section make sure "Require Valid License for Machine Checkout"  is selected.

Duplicate Item Warning

Flyntlok now displays a warning if you add a duplicate item to a sales order. Choose to either combine the item with an existing line item or create a new line item.

Updated End Of Day Report

We expanded the End of Day report to further break down the data. We Added 2 columns in the parts sold section:

Fleet Price Verification(PACCAR)

Flyntlok will now verify fleet pricing on work orders. Add the customer's fleet number during work order creation or from the edit screen to take advantage of any discounts. We are continuing to further automate this process.

Change Discount

When a customer is changed on an existing sales order, any discounts will be recalculated. This will ensure every customer is charged the correct amount.

ERP Voucher Inspection Fix

When inspecting parts on ERP vouchers the below error would occur. This has been fixed on all vouchers created after 6/30/2021.

Voucher Lock on Close

After a Voucher has been closed it will be "locked down". Users will not be able to add or delete attachments, edit attachment values, or make changes to fees and credits. We remove the buttons altogether, see below!

Rental Duration Default

Flyntlok will assume you are inputting days when a number is typed into the rental duration text box. You can still use "w" after a number to set weeks and "m" to set months.

Rental Contract Default Salesperson

Flyntlok had been setting the default salesperson to the first person shown in the dropdown; which is ordered alphabetically. The default first salesperson will now automatically be set to the user that is signed in.

Sales Order Beta Contact Email Fetching

The beta work order dashboard was not filling the Recipient(s) dropdown with customer emails. Flyntlok will automatically fetch emails associated with the company listed on a sales order. The system will then show the emails in the Recipient(s) dropdown on the "Email Report" page. This will make it faster to email quotes and receipts to customers.

Automated Customer Satisfaction Surveys

If you have ever wanted to gauge customer satisfaction in real-time then we have the feature for you! We are adding the ability for you to automatically email surveys to your customers after certain actions in the system.  For example, after you close a sale with a customer.

If you have interacted with Flyntlok’s help desk recently, you may have received a survey in your inbox almost instantly. While this alone is great, we wanted to take this feature a step further by building “triggers'' that will allow you to send the surveys either instantly, or after a delay chosen by your business. This tool will not only make your dealership look modern and professional, but also provide you with instant feedback from your customers.

We have teamed up with Survey Monkey as a partner for this feature. This allows Flyntlok to trigger actions for surveys and manage data necessary to tailor your survey.  Survey Monkey manages the survey configuration and provides tooling and reporting around your surveys.  The Flyntlok consulting team can assist with all of the setups.

This ad-hoc feature can be configured for you for a cost of 10 cents a survey.  If you are interested in utilizing this, please contact us at consulting@flyntlok.com or submit a ticket within the application, and we will set up a time to discuss.

New Sales Order PDF (Closed Beta Testing)

We are happy to announce that we are launching a new version of the Invoice/Sales Order PDF.  We will be adding this feature by customer request in the coming weeks! A Flyntlok consultant will reach out to your management team for approval before adding your business to the beta test. This new sales pdf  will soon become the standard within Flyntlok.

DMS Work Order Dashboard Updates

Over the course of the next two weeks, we will be working on a new implementation of the work order dashboard.  This will be a job-centric dashboard with screen space optimized for tablets and laptops.  Starting 06/09 we will launch a closed beta for this feature and open that beta to customers who are interested in trying out this new dashboard in late June.

DMS Work Order Job Template Manager

Since we are making updates to our work order system, we will take this opportunity to update the job template editor as well.  This will be finalized and out with our release 06/09!

Point of Sale Improvements

New Hotkey “F”

Due to popular demand, we have added a new hotkey to our sales order page. “F” can now be pressed to fulfill as many items as possible on the sales order. We continue to encourage ticket submissions with click reduction ideas!

Cursor Movement After Parts Selection

After using the mouse to select parts from the parts searcher drop down, the cursor will automatically move to the quantity field.

Item Quick Add

We added a link from the POS item quick add dialog to the full new part creation form.  If you had some data already entered into this form, it will be saved and you will continue to edit the newly created part in a new tab. Just remember, the form has to be completely filled out before clicking the advanced button.

We will also start checking for duplicate customers. This should help prevent quickly adding customers that are already in the system.

Sparks Portal

Clicking “Accept Order” Assumes Responsibility

Sparks Orders were being created with a user set to ”Flyntlok System”.  In order to support downstream workflows (like purchase requests), we will assume the user clicking “accept order” will be responsible for that sales order moving forward.

Photos

We fixed a bug causing sparks machines photos to be different than Flyntlok DMS ones. This occurred when a machine's picture was updated from its original version.

Consignments

Dashboard Layout Updates

We optimized this page for laptop uses. Since consignment locations are often remote or on service trucks, we made some layout changes that should give laptop users a better experience. Specifically, any action button should be accessible without the need to side scroll.

Remove Insufficient Quantities

We added a button to remove out-of-stock items when transferring quantities to consignment locations.  When this button is clicked, we will reduce the transfer amount to the max quantity available to get you closer to your target quantity.  Previously, we removed the whole transer.

 

Redirect on Submission of WO Internal Quote

We realized the redirecting between work orders and internal quotes was choppy. We have implemented better redirects to help streamline the process. Upon completing an internal quote you will now be redirected back to the work order you started on. The system will behave exactly as if you bought the parts from an internal account; eliminating clicks and allowing you to enter additional work order data.

Better Error Handling on the User Settings page

You might have run into an error while editing/saving your user settings (such as updating your personal photo) and not realized it. We have now updated that page to communicate errors to you, should one occur.

User Photos - No Permissions Necessary

Being able to put a face to a name is more important now than ever. We made sure that all users are able to add a user photo. No permission is now necessary.

ERP Work Order Updates 

ERP Grading Workflow

Users were mistakenly grading a work order before signing it as assembled or signing the first article inspection.  Now, a work order must be signed as assembled before the option to grade the work order will be made available. If a work order requires first article inspection, that must also be completed before the option to grade will be made available.

Notes Modal (Gabe K - Click Reduction Contest)

This submission came from Gabe K during our click reduction contest. If your mouse left the space on the screen where the modal (pop up) was, the modal would automatically close. We understand that can be frustrating so we made sure that the modal stays open until you choose to click close or save.

Expected Total Cost

We give an extensive breakdown of costs on ERP work orders. We went ahead and added them up for you! This can be found on your ERP work order dashboard.

Quick Searching - Open in New Tab (Gabe K - Click Reduction Contest)

If you have the user setting enabled to open your QuickSearch results in a new tab, we were not leaving the input after you submitted your search.  When you returned to that tab, the QuickSearch guide would overlay over the page and block your view, requiring a click to close it. We have handled that for you now.

Adding Notes Only Available in Draft Status

It is important that closed sales orders remain closed and not changed. A few users found that our new hotkey improvements worked a little too well; allowing notes to be added to sales orders after they were closed. “N” will now only add notes to work orders in draft status.

Searching for Supersessions/Alternates/Cores After Creation

We have continued to improve on last week's core-focused improvements. You will now be able to find newly created cores in the parts searcher immediately after they are created. This will allow you to connect cores to parts immediately, smoothing your workflow.

Customer Unit Number Now Searchable on Work Order Create/Edit

We have added the ability to update, search and link machines to work orders based on the customer-supplied unit number. Previously, the technician had to supply the Flyntlok unit number.

The 'QuickBooks Terms (Items)' and 'Term Notes' that are set on the vendor edit page will now be added to the part purchase order PDF.

We solved an issue that was preventing the conflict message from showing when a rental contract was created that overlapped the reservation dates of a previously made rental reservation.

Report Scheduler Accountants and CEOs

You can now schedule reports to send to your employees.

First, go to your administration editors drop-down (wrench icon) and click 'Report Scheduler'.

Now, click the green plus button and choose the report you want to schedule.

Next, choose when you want to send the report.

Finally, select the recipients that will be receiving the report and click the blue 'Schedule' button.

You can select groups of employees by checking a user group listed. This will add all users under that group to the recipient field.

The green check next to a day of the week means there are recipients receiving the report on that day. You CAN send reports multiple days a week

You can see a list of reports being sent under "Schedule Report", you can also click the calendar icon to see a calendar view.

Epiroc Part Purchase Orders

You can now submit part purchase orders to Epiroc! Go to an Epiroc part purchase order and select "Submit to EPIROC USA LLC" under the "Actions" drop-down menu.

You can now reset a user's password! To reset a user's password go to the user editor (Wrench icon -> Users -> Users), scroll to the right, and click 'Reinvite User'. This will e-mail them a link to reset their password!

Any user can reset their password directly from the login page.


Sparks

A file can now be imported and converted into a draft sales order in Sparks.

Only part numbers that match part numbers in Flyntlok will be accepted

Enhancements 💪

Parts Transaction Recording

We made a few changes to the part/item transaction engine in this release. Specifically, we added more detail to manual overrides, much like the standard buying, selling, and transfer of parts. These overrides occur for many reasons, now you can record the reason when you make the change.

Accountants and CEOs

Currently, we do not support the posting of these changes to QuickBooks as inventory asset adjustments. However, this group of programming changes will enable us to do this via an auto-generated monthly journal entry in the not too distant future.

Item Change Reasons

We added default reason codes for each of our customers. You can make changes by clicking on the wrench icon -> Items -> "QOH Change Reasons".

The reason code for a physical inventory count can be set by default. The reason code for a point of sale change can also be set by default.

Item Dashboard

Changes to inventory and average cost now occur through the actions drop-down menu and not via the bottom of the "Item Edit" screen. There are new action drop-down options for "Metric Override", "Scrap Part", and "Change QOH". Change QOH also allows you to edit average cost.

This is particularly helpful if you decide you need to change units of measure.

"Metric Override" now also allows you to set a reorder point by location (you used to have to set it for your whole enterprise). The part ordering engine checks to see if you have set it at the location level. If it is not set there, it will look to the enterprise level to see if there is an applicable reorder point.

When a change is recorded, the "Recent Orders" view on the item dashboard will now show who made the change, the reason for it, and the new quantity and average cost recorded.

New Transaction Type: RECLAIM

We added a new transaction type called “RECLAIM” which indicates that a special order part was ordered and received by your organization, but then the customer, for whatever reason, didn’t want it. This transaction moves the “special order” part into inventory.

Flyntlok always did this, but it was difficult to follow.

Reorder Point

Reorder point (ROP) is the level of inventory that triggers Flyntlok to recommend a replenishment of of that particular inventory. When your quantity on hand (QOH) reaches your ROP, Flyntlok will recommend you order enough stock to bring your QOH up to your recommended quantity (Flyntlok Calculated) or if set, your metric overrride.

From here you can enter the user's information and click the save button. After clicking save, the user will receive an e-mail with their username and ability to create a password.

You can now reset a user's password!

To reset a user's password go to the users table, scroll to the right, and click 'Reinvite User'. This will send e-mail them a link to reset their password!

Item Purchase Plans

You now have the option to "complete" a purchase plan. After clicking the complete button, the stock order will be removed from the draft stock order list and you will be taken to the purchase plans page.

You now have the option to scrap items from a MRP work order and item dashboard.

The accountants will be able to generate a journal entry to write off the scrap at any time.

From Item Dashboard click the 'Actions' drop-down and click "Scrap Part":

From the MRP Work Order click the '-' icon, which will only be visible when the user is clocked into the work order:

Here you can select the location, quantity being scrapped, and reason for scrapping.

The Scrap will show up on the "Recent Orders Containing This Item" section.

Vendor Dashboard

We added a new metric called "OTC Ratios" to the vendor dashboard. OTC Ratio tells us the % of money spent on ordering using on stock shipping type vs any other shipping types. If you are ordering it in stock it's considered 'over the counter', since you are not ordering it on an expedited shipping method.


Item Dashboard

We made an upgrade to the "Recent Orders Containing This Item" section. We updated the transaction type for reclaiming to make it more clear that a special order is being canceled. We also now show you balance and scrap transactions in that view.


Security

In order to meet an industry security compliance measure, we had a 30-minute time-out set. We have since changed it to 10 hours and will be moving forward to a 30-minute time-out again in the near future.

Left-Hand Menu (BETA)

Tip

This new feature will be rolled out over the next few weeks to a select number of users. It can be accessed from the home page, invoice, work order dashboard, customer dashboard, machine dashboard, and all report pages.

Flyntlok optimized the left-hand menu to bring you more enhancements and features! You can expect the following features on the new left-hand menu:

We’ve been working with Stihl in order to bring new features into Flyntlok. Since Stihl allows you to order parts and machines concurrently, we give you the option to link a machine po to a part po for submission to Stihl. This helps you hit the threshold for the marketing fee! Please watch the video below to learn more!

Tip

Please allow up to 15 minutes for the order to be received by Stihl. After 15 minutes please log in to your Stihl ordering portal to make sure Stihl received the correct purchase order lines and shipping type.

John Deere-Hitachi Integration

When you log in to Flyntlok, will notice some enhancements and upgrades to these services. If you use JD Point, you'll first need to connect your Flyntlok account to JD Point. You can do this from John Deere and Hitachi's vendor dashboard.

Tip

You can also connect to JD Point from the item dashboard and part purchase order page.

Warning

We are still waiting on John Deere to upgrade the JDQuote and JDWarrranty services. We'll notify you as soon as these are upgraded and ready to use!

John Deere-Hitachi Integration Continued

You no longer have to log in to JDPoint after submitting a purchase order from Flyntlok.

First, submit your order to John Deere.

Next, enter the following information and click 'Submit'.

Success

Stock orders default to auto-submit. To turn off auto-submit, un-check the 'auto-submit to John Deere' button.

After submitting the order to JD Point, you will be able to see information like; real-time order statuses, parcel information, and orders that were generated by JD Point.

You used to click a button to display part information from JDPoint, it will now be displayed by default (as long as you’re authenticated to use JDPoint).

Success

Some JD Sunbelt items will also display part information!

Warning

JD’s roll-out of these upgrades is incremental, so there will be a temporary interruption of services: Warranty and PIP information are currently under construction as we work with John Deere to improve those integrations. Additionally, information about shipped parcels attached to parts orders will be temporarily unavailable as we work with John Deere to upgrade that.

We optimized the Flyntlok Details page. These optimizations make it much easier for you to make changes to your Flyntlok account.

Tip

To get to the Flyntlok Details page: Click the wrench icon on the top right of your Flyntlok screen, go down to the 'Flyntlok' dropdown, then click 'Flyntlok Details'. Here you can change details like your business's logo, sales order footers, and more!

Warning

Be extremely careful when editing these items. (Only expert users should have access to the Flyntlok Details page)

John Deere-Hitachi Integration

We are working directly in partnership with John Deere-Hitachi to stay on the cutting edge of their upgrades to the JDPoint, JDQuote, and JDWarranty services. As a result, you may notice some changes on those features in Flyntlok in the coming days, but we will do our best to keep you up to speed so you can continue to take advantage of those features.

More Security

JD’s upgraded system means Flyntlok no longer has to store your John Deere username and password in our system. This results in an overall more secure integration. This will also resolve the issue when an out-of-date JD-Hitachi password in Flyntlok results in your JD-Hitachi account getting disabled.

Warning

You cannot share JD-Hitachi credentials in our system. Every JD-Hitachi username/password pair may only be tied to one Flyntlok user.


Enhancements 💪

Logging

We hit the drawing board on our logging system. We took this opportunity to shift gears and change how we handle logging on the back end. That should give you a much smoother experience loading extensive logs, and improve application performance overall.

Warning

You may notice a delay of up to 30 seconds before actions on a page will show up in the logs. Have no fear, the logs will appear!


Price File Notifications

We will now send out emails when we up date your parts prices from a vendor price file. If you would like to receive the emails, please reach out to your management team who can add you to the list.

Configuration

Managers, to add users to the price file notification list, go to your wrench on the top right of Flyntlok, go to Flyntlok, and then click Flyntlok Details. Here you can add the user’s email to the ‘‘price_update_notify’ field. Please separate email addresses with a comma.

Flyntlok currently receives price files from over 40 vendors, and we use these to keep your parts data up to date with the most current information from the vendor!


Service Dashboard

Popovers were added to the service dashboard to help explain each column. To get to the Service Dashboard go to your left-hand navigation, open the management drop-down, then click Service.


Machine PO

When using the purchase request feature, the newly generated PO will respect the cost the requester enters on the form. This should prevent duplicate data entry and keep your purchasing department rolling like a well-oiled machine.

Accounting Logs *Accountants and CEOs*

We have added more logging to all processes that happen on the Flyntlok QuickBooks page. Next to the title of the transactions box, you will see a View All Logs link. This takes you to a report of all those processes, the time they were executed, and who executed them. This is still a work in progress. We do not show the logging for Sales Receipts, Invoices, Refund Receipts, or Credit Memos yet.

This page may take some time to load, there are a lot of logs to report!


Price File Updates

We will now be sending emails when vendor price files get updated. If you would like to be notified when those get updated, please reach out to Flyntlok.

Accounting Accountants and CEOs

Accountants now have the ability to lock out sales orders from being reversed when they are ported into QuickBooks. This can be set up within the Flyntlok Details. If you need help with this, please contact us!

We have implemented a way for certain users to be able to reverse a sales order no matter the restrictions. Please contact Flyntlok to get this setup.


We have also added a button to the Accounting page that will load customer balances from QuickBooks into Flyntlok.


Point of Sale

Split invoices will now retain the same salesperson as the original invoice.


Item Purchase orders

If an item is special ordered, we will show the reserved quantity on the receiving voucher.


Vendor Dashboard

We've done a performance upgrade on the vendor information section of the vendor dashboard and added some new statistics. Also, we have added descriptions of the vendor dashboard statistics in our FAQ section.


Permissions

We've revamped the access control page. This should be easier to understand now with a new layout and descriptions about each permission. If you would like help creating a new role or adjusting users' access, please contact Flyntlok.

Item Searching

The 'CTRL+S' search function will perform like the search field on the point of sale. The search results will now indicate if an item has been superseded and show the parts it was superseded by. We will also show you alternates of the item you searched here as well.

Inactive items will now be included in the search results when using 'P?' in the top-left search field.

Lastly, the search field in Sparks was updated to function like the point of sale item searcher! This way Sparks customers can also see superseded and alternative items.

Transfers

We updated the logic behind item transfers. Please take a look below to better understand this new process.

All transfers that are in transit at the time of this release will use the updated process.

Also, you can no longer delete a transfer that has been "received".

We now validate the name selected when the Account type is payable/receivable.

DMS Work Order

You now have the ability to add a new job when creating a work order! The job will not have any estimated hours, work requested, or labor type. You will have to set those on the work order.

You also have the ability to add jobs directly from the work order dashboard.

Service managers can add parts, edit, and delete jobs from work orders whenever they need to. Technicians can add parts, edit, and delete jobs when the work order status is new or estimate. Technicians can also take these same actions when they are clocked-in and the work order is outside of these two statuses.

All changes to invoices, jobs, and labor will update without refresh.

We added the ability to transfer sales orders to different jobs and work orders.

Sales orders can only be transferred when they are in draft status.

Enhanced logging will be added to keep a timeline of all actions taken on the work order


Work Order Job Templates

Templates can now be attached to a vendor and are no longer attached to a model. For example, if you create a job template for the vendor Bobcat and make the job mandatory, every time you create a work order for a bobcat machine that job template will be attached.

You can also attach files to work order job templates that will show up on the work order the job template is used on.


Broadcast

On your left hand navigation go to Documents. When you upload a file, you have the option to "Broadcast" the file. This will allow you to send a banner notification to your business. This works great for informing your employees about S.O.Ps!

Here's an example of the banner notification.


Parts Metrics

Previously, the parts metric calculation only ran during our nightly process. Now, you can run this calculation on demand per vendor.

Parts returns

Previously, we allowed you to make a return for a part with 0 quantity on hand. Now, a part must have at least 1 on hand and we limit the max quantity allowed for return to the part's quantity on hand.

Item Inventory

We rolled out a major enhancement to inventory management. We no longer include special order quantities in the item's 'Stock On Order' quantity when creating a stock order. Let us know if you have any questions!


Machine Purchase Orders

You now have the ability to attach a file when adding a purchase request. The file will also be attached to the purchase plan as well as the purchase order!


You can also add model options to the machine purchase order!

 


The Vendor Invoice and Date Invoiced fields on the machine purchase order will now be transfered over to the machine dashboard!


Lastly, we added extra permissions around editing a machine purchase order. Please reach out to Flyntlok if you want to set this up!


DMS Work Orders

When filling out an Equipment Condition Report, the "Other Damages Additional Comments" will be added to the "Work Requested" field on the work order that's created to fix the damages listed on the Equipment Condition Report.


Point of Sale

We enhanced the log details when a purchase plan is deleted that's linked to a sales order. Previously we displayed the item's internal ID, now we show you the item's name!

Point of Sale

The invoice margin calculation now considers the discounts applied to the invoice.

Also, if an invoice is a Drop Ship, we will show you a "Dropship" badge on the invoice!


Machine Purchasing

When requesting the purchase of the machine, if the model is created in the purchase request, we will now require a description of the model being requested.


Rental Reversal

When a machine is checked in on a rental contract, you now have the ability to reverse that machine back to a checked-out status.

The checked-in information will not be removed when the machine is checked back out. That information will need to be manually removed.


Stock Purchase Orders

You can now remove all items that have a recommended quantity of 0 when creating a stock order. Simply check the box on stock order creation to have all of those items removed.

Searching

Item searching on the point of sale has been completely revamped to help you find what you're searching for faster! The item searcher now does the following:

We will continue to refine this over the next week. Any and all feedback is welcome!


Items

You can now control whether or not an item can be purchased! If the "Item can be purchased" field is un-checked, the item cannot be requested for purchase, and will not populate on recommended stock orders.

Danger

If the item type still allows this item to be sold, we do not prevent you from creating special orders for this item.


You can now choose the item's quantity that is used in an item group. This can be done when editing the item.


Item Purchase Orders

When using the purchase order exception feature, you can select 'MinQtyOverride' to enter a minimum quantity that can be ordered. We will add the exception to the description on the purchase order as well as update the item's settings!


The purchase order exception feature will now notify the user who requested the purchase by sending an orange banner on the user's dashboard. If the purchase order is linked to a sales order the salesperson who created the sales order will be notified of the exception! Here's an example of what the notification looks like:


Chosing the PO exception reason "Discontinued" will break the link to the sales order. After discontinuing the item, the item's description on the sales order will be updated with the following message: "Order cxld from PO". The salesperson who created the sales order will also receive the following notification:


Tip

The PO exception feature will not alter a "Delivered" sales order on substitution. To close out a sales order you must reverse or remove the line from the sales order.


The 5 most recent notes are now included on the receiving voucher PDF.


There's a new Invoice Date field on the receiving voucher that we will use to post to QuickBooks. If this date is not set, the most recent receive date will be used.


Stock orders can now be used to fulfill special orders. If there is a stock order already created with the item that's on the "pending" sales order, then we give you the option to "Merge" on the "To be Ordered" page.

Tip

You will only be able to do this one time per line on a stock order.


Point of Sale

The ability to refund a customer's deposit has been added to the point of sale. First, create a sales order then add a negative amount payment line.

Now you can click the "Refund Deposit" button to refund the customer's deposit.

Tip

The customer's deposit balance will not reflect the refund until the refund is processed by accounting.


Rentals

We added the following message to the rental PDF: "Fees below reflect estimated rent costs. Actual cost will be determined at check-in." This should help clear up some confusion for your rental customers.


DMS Work Orders

The work order job name is now visible in the Public Message text box of the internal sales order linked to the DMS work order.


Machines

You can now change the date sold when editing a machine.


Machine Purchase Orders

You now have the ability to add a machine comment that will be added to all machines on the purchase order when placing the order.


You can now upload files directly to the machine dashboard from the machine purchase order. To do this, click on a machine line, click edit, then click the 'Add New' link next to "Attached Files".


The machine's serial number can be seen on the machine purchase order, specifically on the machine's link.

Why can't I see my S/N's on the main machine PO page?

Since you can now have multiple quantities per line, we can only show you the serial number by clicking the gear icon, and opening up the details of the line.


We added a notes section on the bottom right of the machine purchase order!

Tip

These notes will not show up on the machine purchase order PDF. All fields lockdown after machine PO is closed, you still have the ability to edit the machines from the machine dashboard.


Accounting

You can now control whether or not files attached to receiving vouchers are sent to Bill.com.

Important

Head to your company's Flyntlok settings (Wrench -> Flyntlok -> Flyntlok) to configure your Bill.com settings if you are using that service to manage your payables.


When accepting a customer deposit/account payment, the Credit Card Service Charge is not included in the dollar amount that hits the customer's deposit/account. The Credit Card Service Charge will book separately.

Important

The item used to book Credit Card Service Charges must have an Income and Expense account assigned to it in order for us to book these charges properly.


Vendor Dashboard

The "Most Recent Purchase Orders" list on a vendor's dashboard will now include both machine and item purchase orders!


Sparks

When clicking view all orders, there is now a section to filter by the customer's PO number.

When adding an address the state is no longer required for shipping addresses, unless the United States is the country chosen!


You can no longer enter a fulfilled quantity that's greater than the quantity ready on the sales order.

We now auto set the vendor to the model's vendor when converting a purchase plan to a purchase order. Previously, you had to manually update the vendor!


DMS Work Orders

When a workorder is in invoiced status, the internal parts orders can not be reversed or returned. You must roll back the final invoice for the work order to make any changes to the internal parts orders.


Core Transfers

When transferring an item that has a core the core will be automatically added to the transfer list with the item. If the transfer is linked to a sale, both the core and the main item being transferred will be linked appropriately.

The Metric Override data can now be removed when editing an item. This can be found under the "Store Specific Information" at the bottom of the item edit page. Sorry!

Machine Purchase Order

This week we released our new machine purchase order system! Please check out the video below for more information.

Enhancements 💪

Machine Purchase Order

The order quantity on the machine purchase order will default to a model's "Minimum Order Quantity". If the order quantity is below the "Minimum Order Quantity", Flyntlok will display a red box "Below Min".


Invoice Picklist

From the sales order, under the details tab, you can now generate a pick list of all unfulfilled items on the sales order.


Trade-Ins

When creating a trade-in machine from the sales order, there is now a field to link that trade into a previous machine in Flyntlok. Linking these machines will give you a link on the previous machine's dashboard to the newly traded in machine.


Problem Customers

When inputting a customer on a sales order, if the customer is marked as Problem Customer, we will give you a warning.


QuickBooksOnline Default Accounts

You can now see the default accounts that are connected to QuickBooks Online within Flyntlok.


Issues Resolved 🐛

Rental Machine Hours

When checking a machine out on a rental, updating the hours out will update the total hours on the machine.

Tax Calculations

The tax calculator has been revamped to handle return sales orders.


Duplicate items on POS

When you add the same item that has already been added to a sales order, we will update the quantity of the original item added.


Issues on Vendor PO Page

All issues on the vendor purchase order should be fixed after this release!

New Vendor Stock Order

Flyntlok has a new stock order page! This will replace the old stock order page. Please check out our new Release Radar video to learn more.

Enhancements 💪

Item Dashboard

We made some small changes to the Item Information section on the Item Dashboard. You will see most of the item's information without having to go to the item edit page. Click the arrow to view more information related to that section.


Item's Average Cost

On the item dashboard, under the Location and Quantity On Hand section, you will now see an item's average cost for each store location.


Cost of Labor and Parts on Work Orders

DMS work orders now also show the cumulative parts and labor costs at the top of the work order.


Work Order Invoice Number

We now show the final invoice number on the blue banner of invoiced work orders.


Clickable Links

There are many clickable links across Flyntlok, some of them open in new tabs, and others open on your current tab. We are currently working on making all links open in the same tab to keep it consistent across the board. When you see Flyntlok Equipment Dealer Management Software - icon next to a clickable link, that link will open in a new tab. If you want to open a link in a new tab that doesn't have the icon next to it Ctrl+Left Click on the link.
