Contact Us Widget(beta)

Customers visiting your website can send your team messages through Flyntlok. This feature requires our development team to implement. We are starting to build a backlog of interested customers and will begin scheduling implementations in the following weeks.

Performance Metrics

Days Since Creation, Days Since Last Labor, and Days Since Last Comment have all been added to the Performance tab.

Costing Metrics

Our new work order system was missing the cost metrics found in the old system. We have added them back! To view cost metrics on the performance tab, click the incognito man! Sensitive cost information is always hidden by default in case you are presenting information to a customer.

Approval Note

When you invoice a work order, and the jobs have been marked as approved or rejected, we have added a line to the invoice stating who approved the job and the date it was approved.

Enhancements

Hot Keys

Hot Keys have been added to the estimates, labor, and performance tabs. To set custom hot keys, click Actions -> Edit Keyboard Shortcuts.

Sending Estimates to Multiple Recipients

When requesting a signature for an estimate, you can send the request to multiple recipients. You can also CC other interested parties! The internal field will send a notification to a Flyntlok user. Emails listed in the CC or Internal field will only be able to view the estimate.  Remember, input boxes with tiles can have multiple selections! See the CC section below.

Salesperson on Returns

When creating a return of a sales order, we were setting the salesperson to whoever created the return.  This caused errors on reporting.  Going forward, when a return is created, the salesperson will be the same as the original invoice by default.

We updated the look of our customer searcher on the point of sale. This allows us to show more information, such as contact data, when searching.

Parts Volume

Previously it was unclear what the volume section of the vendor dashboard was telling you and with a new year upon us, more customers were asking.  We adjusted the header and “view more” links to say what it actually is; parts ordering volume over various timeframes grouped by order date (“show more” allows you to set a specific time range). We also changed the criteria for what it totals to include all purchase orders of any status as long as they have not been canceled.   Previously, it only included “Closed” purchase orders.

This is a great place to keep up on your overall part ordering volumes. But it is also important to note that this will not foot with your financials as it shows orders that have not yet posted.  Given the current climate with long lead times and back logs, these numbers are a better representation of overall volume for a given vendor than your financials – especially when talking in annual

New Features

Intra-departmental Customer

Flyntlok has created a new customer type to facilitate interdepartmental billing where the dealer wants to record revenue as well as the costs of an internal transaction.  These transactions are recorded as Sales Orders and Invoices in Quickbooks Online (QBO) allowing for revenue AND expense to be recorded into your financials for internals. The use case is a dealer who is using classes to represent different departments (parts, sales, service, etc.) of the dealership for internal goal and variable compensation purposes and wants to share the profit and not just the cost of certain transactions inside the dealership.

Note that this type of revenue recording is not GAAP and is usually not part of your final financial reporting. Nevertheless, it can be helpful to dealerships that want to go deep on the department-by-department performance reporting in their financials.  Because this method will require a new payment type to be used which is fictitious and interdepartmental, we have also added support for different payment clearing accounts by type of customer account.  The payment clearing account on these fictitious payment types should be pointed to the same clearing account you set for the interdepartmental billing customer type.

The use of this enhancement requires extensive business and change management on the part of both the dealer and flyntlok. If you are interested in using this feature, please contact our consulting team using the question mark in Flyntlok or email consulting@flyntlok.com

New Features

Pickup/Delivery

A Pickup and Delivery option is now available on the work order creation screen.

An address or dollar amount is not required during creation and can be added later on the info tab.

Email an Attachment

Often on warranty work, vendor credits need to be attached to the work order after the fact. Then, the same paperwork must be emailed to the accounting team. We have expedited this process. If you add an attachment that needs to go to bill.com, check the "Send Attachments to Bill.com" box.

Enhancements

PDF Discounts(Estimates)

Discounts were "quietly" being added on the Estimate PDF. The layout has changed, allowing the customer to see the discounts that they are receiving.

Attaching File on the Info Tab

Previously, files could only be attached to jobs. Now you can attach a file to the work order on the info tab. You can either attach it to the work order as a whole or you can assign it to a job.

Work Order

New Features

Performance & Labor Tab

The Management tab has been split into two tabs, Labor and Job Performance. The Labor tab contains all of the labor associated with the job. Job Performance contains the financial information.

Work Order Fees

On the info tab, we have added a fees section. This will show all of the fees that are being charged on the work order by default. It will also allow you to delete and add fees. Any default fees will remain in place.

If you already using fees, they have been added to the new system. If you would like to start using fees, or if you would like to add additional fees, please submit a ticket. The consulting team will configure this for you!

Deleting Estimate

Sometimes, mistakes are made on work order estimates. We have added the ability to delete estimates that have not been emailed. You will find this option under the Actions dropdown.

Enhancements

Signed Estimate Email Heading

We found that users that send a large number of estimates were having problems finding the signed copy in their inbox. In response, we added the work order number to the email subject. This will make it much easier to search your inbox for a signed estimate.

Customer Searching

Certain users prefer to search for customers using the customer number. We added this ability to the work order creation screen.

External Messages to Notes

Instead of putting the Work Order Notes in the Sales Order External Note section. We will add the note as a line item.

Message Text Warning

Some users have received the below warning after they entered a long note. We now support notes up to 64,000 characters.

Work Orders With Deposits

In order to bill a work order, all deposit invoices must be in delivered status. This is also the case with parts invoices.

Job Template Parts

Job templates now support fractional quantities. Making it easier to bill for consumables.

New Features

Equipment Condition Reports

You can add an automated equipment condition report to your rental process. Once a machine is checked in, Flyntlok will automatically generate a preconfigured equipment condition report in the form of a work order. This features is in addition to our Record360 integration. You can choose which feature set fits your company process best!

To take advantage of this system, you will need to create job templates for the jobs that will be on the condition report. You can have multiple job templates on the same report.

Once you have created all of the jobs that you want on the report. Submit a ticket to the consulting team referencing the job templates. They will take care of the rest! Once configured, every time a machine is reserved or checked in, an equipment condition report will be generated and can be assigned to a technician or rental associate for completion.

Model Quoting

In the past, models had to be quoted one at a time. A new system has been added that allows for multiple models to be quoted at the same time. To start this process, go to the model dashboard and click Create Quote. You will be brought to our new page. Select a customer, add as many models as you need, then click Generate Quote.

Tax Code Searching

Customers in Washington State have a long list of tax codes that need to be filtered though at the time of sale. We have added a search bar to the tax modal and made it faster to select the tax type.

Editing Consignment Location

We wanted to make editing the consignment location as easy as changing the physical location. So we added a consignment selector to the invoice top panel.

Copy Invoice Button

We have move the Copy Invoice button to the payment tab. You can no longer copy invoices from the details tab.

Actions Menu

We have changed the look of our actions menu!

The Audit Logs have moved to the Activity Panel!

Customer Quick Add

We require less information when quick adding a customer from the invoice screen. Just input the company name, if you would like to add additional information, click the Advanced button.

New Features

Work Order Estimate Approve/Reject

Customers can approve or reject estimates via email. First, send them an estimate!

Once Send Request is clicked, the customer will get an email where they can approve or reject each job on the work order. If the estimate it Approved, the approve icon will appear on the estimate.

The customer can also Reject the estimate, and they now have the option to provide you a reason for rejecting.

 

Once a customer has taken action on an estimate, the user that sent the estimate will be notified.

It is easier to add a customer during work order creation!

Service Dashboard: Goal Editing

You can change service department goals on the dashboard.

Service Dashboard: Recovery Rate

Recovery Rate, an important metric, has been added to the Service Dashboard. The calculation: Billable Hours / Actual Hours

Service Dashboard: Rework Tracking

For a work order to count as rework, set the job category as rework. Rework percentage is shown on the service dashboard!

Service Dashboard: Company Overview

A total section has been added to the bottom of the service dashboard. If your business has multiple locations, a company average will be shown in this section.

Naming Standardization

The note field headings have changed. We are working to standardize our names and add better descriptions!

Rearrange General Section

The general section has been rearranged. It will be easier to view on small screen. Scheduled Start, Scheduled End and Work Period  have been combined into one line: Scheduled. The rest of the section has been split into two columns.

When you edit the information. The box will expand, allowing you to enter the data!

Machine & Customer Prefill

When a work order is generated from either the machine or customer dashboard, we will prefill as much form information as possible. Creation will now take place on the new work order form instead of the pop-up.

If you are renting items, you will see a badge on the item dashboard letting you know how may items are currently on rent.

Unread Message Count

The Actions Tab has an icon showing you unread notifications. Once you open the tab, this icon will disappear.

Sales Order Contact

Text2Pay will default to the contact on the sales order.

The SMS field will also default to the contact on the sales order.

Bond Loyalty

An All Offers tab has been add to the bond loyalty tab. The search bar can be used to filter results.

PO & voucher label printing

Labels printed from a PO will print a label for every part on the PO. Labels printed from a voucher will only print labels received on that voucher!

Stock/Inventory Ordering

A returnable column has been added to the stock order form. If an item is not eligible for return, select no! If an item has been set as Non-Returnable on the item dashboard, the field will will default to no.

Work Order Updates

Work Order Machine Assignment

In the past, only one machine was allowed per work order. This worked great until a customer dropped off a chain saw, pole saw, and weed wacker. Now you can add multiple machines to a work order. To do this, click "Multiple" on the work order creation screen. Then add machines to each job.

 

Then, you will be able to add a machine to each individual job.

Clocked in list

Click the Info Tab to see a list of people that are clocked into a work order.

 

Technician Notes

The customer will not see any notes that are added in the "Notes" section.  However, after the notes have been reviewed, you can add them to the correction section by clicking the "Add to Corrections" button.

Work Order Sections Stay Closed

When you minimize a section on the info tab of the work order page, it will remain closed until you open it again.

Parts Transfers

Parts invoices can be transferred between jobs. The jobs can even be on different work orders. Click the transfer button on the management tab to preform transfers.

Work Order Permissions

Certain work order actions only need to be available to select users.  Below is a list of actions that can be limited. The limits can be set on the Authorized Users tab by your company Flyntlok administrator.

New Rental System Updates

If you are interested in upgrading to the new rental system, please reach out to consulting@flyntlok.com.

Rental Contract E-Signing

From a rental contract, select "Request Signature" from the actions dropdown.

Then input the customers' email on the pop-up.

The customer will receive an email prompting them to e-sign the contract.

Then, the customer can sign the contract.

 

Rental Kits

Beta users can configure Kits from the Models page. To create a Kit from scratch, first, create a Model. Then edit the model and scroll down to the recommended items section.

 

Remember, only items that are marked rentable will show in the searcher.

Delivery And Pickup Information

If you leave the box blank, the rental delivery fee will show TBD instead of $0.  This allows you to bill the customer after the delivery has occurred.  In this case, we recommend having your rates listed in the terms of the contract.

Associated Salespeople

You can now associate more than one salesperson to a Customer. This can be helpful if a customer has a salesperson and a PSSR.

Flyntlok Surveys

You can now see the last time a customer was surveyed on the customer's dashboard.

Vendor Searching

We have updated vendor searching from the search bar. It should be faster and show better results than before!

BETA Work Order Updates

By request, we have been moving users over to the new work order system. Thank you for all the great feedback! Please submit a ticket if you would like to start using the new system.

Recommended Jobs for John Deere and Hitachi

After creating a work order for a John Deere or Hitachi machine, we will look for open PIPs. If any are found, they will be listed just below the Add Job button in the new Recommended section of the work order.

Once you select a recommended job, we will pull information directly from John Deere like the PIP title, type, and even the items needed for PIP. If you choose to create the job, we will also create the internal parts order with the required parts for the job.

Job Templates

In order to save you time on creating templates for common jobs, you can now create a job template directly from a job you have on a work order.

Complaint, Cause, Correction

In our new work order, we have moved away from work requested and work done on jobs to a complaint, cause, and correction structure. This gives the opportunity to input the customer's complaint, then the technician's analysis of what caused the problem. The correction field will be used to communicate the work done. Only complaint and correction are required.

Disabled Actions Labels

Description labels appear when a button is disabled to give insight as to why the button is disabled.

Banners

Banners are back! After getting a new look, banners are being reintroduced to update you on important information.

BETA Rental Updates

We will soon be adding more customers to the new rental system. Here are some of the new features that will be available!

Rentable Items

We now support renting out items. To make an item rentable, you will need to edit the item and check the Item Can Be Rented box.

While you are there, you can add rent schedules to cover all of your pricing structures.

Rental Kits

A rental kit consists of one machine and a group of items that must be rented together. An example of this is renting a serialized air compressor with a hose and pressure regulator. The air compressor is the serialized machine, while the air hose and pressure regulator are optional items. When adding the machine to the rental, you can choose the amount of each item you will rent with the machine. These items will then be pulled from inventory when checked out, then added back to inventory when checked in.

Flyntlok Surveys

Customizable Email Templates

We now support customized email templates on each survey template that you send out. If you are interested in adjusting your email template or learning more about our survey system, please reach out to consulting@flyntlok.com!

Store Specific Surveys

If you are a multi-store company, you can now configure your surveys to only send when the sale is closed at a certain store.

Allocation on Receipt

When stock orders are received, Flyntlok will help find where they will be used best. If you have outstanding special orders for the same part; you will be able to move the stock order part onto the special order from the receiving pop-up.

Required Drivers License Information

Flyntlok now automatically checks to see if your rental customers' licensing is up to date. You can continue with the rental on a case-by-case basis.

 

To implement this check at your business go to the Wrench->Flyntlok->Flyntlok Details. Then under the rental section make sure "Require Valid License for Machine Checkout"  is selected.

Duplicate Item Warning

Flyntlok now displays a warning if you add a duplicate item to a sales order. Choose to either combine the item with an existing line item or create a new line item.

Updated End Of Day Report

We expanded the End of Day report to further break down the data. We Added 2 columns in the parts sold section:

Fleet Price Verification(PACCAR)

Flyntlok will now verify fleet pricing on work orders. Add the customer's fleet number during work order creation or from the edit screen to take advantage of any discounts. We are continuing to further automate this process.

Change Discount

When a customer is changed on an existing sales order, any discounts will be recalculated. This will ensure every customer is charged the correct amount.

ERP Voucher Inspection Fix

When inspecting parts on ERP vouchers the below error would occur. This has been fixed on all vouchers created after 6/30/2021.

Voucher Lock on Close

After a Voucher has been closed it will be "locked down". Users will not be able to add or delete attachments, edit attachment values, or make changes to fees and credits. We remove the buttons altogether, see below!

Rental Duration Default

Flyntlok will assume you are inputting days when a number is typed into the rental duration text box. You can still use "w" after a number to set weeks and "m" to set months.

Rental Contract Default Salesperson

Flyntlok had been setting the default salesperson to the first person shown in the dropdown; which is ordered alphabetically. The default first salesperson will now automatically be set to the user that is signed in.

Sales Order Beta Contact Email Fetching

The beta work order dashboard was not filling the Recipient(s) dropdown with customer emails. Flyntlok will automatically fetch emails associated with the company listed on a sales order. The system will then show the emails in the Recipient(s) dropdown on the "Email Report" page. This will make it faster to email quotes and receipts to customers.

Rental Creation Redesign

We want to make renting equipment easier for you!

We have added a new page to research machines and create rental contracts.  You can access this page under the "New" section of the left navigation.

You can filter available machines based on customer requirements. Then, select the machines and attachments to add to the rental contract. The selected equipment will be moved to the Selected Machines section.  Once all equipment has been selected, clicking the continue button will let you move forward with quoting or reserving the contract.

The Filter bar makes it easy to find a machine that meets your customer's requirements.

Machines that pass your filters will appear in the Machine section.

Easily see all of your machines and select the equipment that works best. You can select as many machines and attachments as needed. Selected equipment will be added to the Selected Machines section.

The Selected Machines bar allows you to add multiple machines to a single rental contact.

The Selected Machines bar allows you to edit the rental contract. You can see the equipment you have already added, delete machines, and view the machine's rate sheet. When everything is perfect, click continue at the bottom of the page to finalize the rental contract.

 

While we beta this new form, our existing form for rental creation will remain in place, so you can still you that one if you would like.

Work Order Dashboard (Closed Beta)

We have changed our Work Order Dashboard! Participating customers only; coming soon to everyone.  This update to the work order dashboard comes with a tabbed layout giving more space to focus on the center point on the work order - jobs.

Jobs Tab:

We crafted the Jobs tab to show everything a technician would need to perform work. We scaled down the dashboard to the essential information, removing clutter.

Info Tab:

We designed the Info tab to meet the needs of a service manager or parts associate. The Info tab shows customer and machine information essential to your job.

Future updates to the Work Order Dashboard

We will be rapidly expanding the functionality on this page to include the following features:

Prevent Duplicate Model Creation

If you try to create a duplicate machine model, we will alert you!

If you already have model duplicates and want to clean them up. A company admin can go to Wrench -> Flyntlok -> Widgets and use the Merge Model Widget.

Exclude From Auto-Email

It is easy to disable emailing on a case-by-case basis. After reversing a sales order we recommend using this feature. This will prevent your customers from receiving multiple emails for the same transaction.

Visibility to Paccar Bond Loyalty/Fleet Accounts

Moving forward, the Bond Loyalty/fleet accounts options will only be available for locations of your dealership that support Paccar. This continues our trend of decluttering; only showing the information you want to see.

Default Model Classes

You can now set a default primary/secondary class for models.  This is done at the company level.  To set this data, head to the Wrench -> Flyntlok -> Flyntlok Details.  Under the model primary photo, you can set these defaults.

Primary Model Images

We allow you to set primary photos for a model in Flyntlok.  This is the default for any machines created of this model.  However, if you updated this photo, we weren't correctly updating the settings to make the new photo the primary photo.  That has been fixed!

New 🆕

Volvo Extended Offer

We are now integrated with Volvo Extended Offer. When you order extended offer parts from Parts Linq, Flyntlok will receive order confirmations and shipping confirmations for these orders' styles.

Volvo plans to let you place these orders from your business system in Q3/4 of 2021.  We will add that functionality when it is available.

When clocking into a DMS work order, you can now choose a job to clock into right away!

Part Transfers

We made some small adjustments to the form for requesting parts transfers.  The first field in the form is now the "From where?" section.

We also now show you the QOH at the location in the dropdown.

 

Multi-Discounts for Customers

You can now give a customer multiple discounts. To do this, navigate to the customer editor. In the "Accounting" section, you can set the discounts.

These discounts must be pre-defined by an administrator at your business.

Reject Quantities on MRP Work Order

We will now show you the amount that has been rejected in the top banner of the work order.

PDF Flat Rate Jobs

We have adjusted the DMS work order PDFs to now account for flat rate job pricing.

New Vendor Notification

We have added a new task that will get created for one user, set at the company level when a new vendor is added. This will allow for the vendor's accounting configuration to be double-checked and prevent any incorrect postings.

Journal Entry Logging

We have added logging to the Flyntlok Journal Entry system.

Updating Bin Location

Now, when receiving an item, you will be able to edit or set the bin location.

 

Resolutions 🐛

DMS WO Clock Icon

The clock icon on the list of open DMS work orders will now be highlighted if any tech is clocked into the work order. Previously, it was only if the technician assigned was clocked in.

DMS WO - Template Labor Types

If a job template does not have a default labor type, we will default for you.

DMS WO - Template Parts

We found a bug that prevented draft parts orders from being created when adding a job template to a work order.  That is fixed, and adding a template to a work order that contains parts will create a draft order of those parts.

Incorrect Core Location

We've tracked down and resolved an issue with cores being added to purchase orders with incorrect purchasing locations. Occasionally, when an item was being purchased with a core, the core added to the purchase order was for the incorrect store location.

Notification Setting

We found a bug in notification settings where we were overriding your setting. That is fixed, and they should stick now!
