Opportunity
Bobcat dealers expressed a need to access real-time inventory data within Bobcat OPC from Flyntlok and to efficiently manage pick lists created within OPC between the two systems.
Solution
To address this need, we have integrated Bobcat OPC with Flyntlok, providing two key capabilities:
Real-time Inventory Access
Dealers can now view inventory details from Flyntylok such as bin locations, quantities on hand (QOH), quantities on order (O/O), and pricing directly within the Bobcat OPC. To view the inventory details of the parts within the Bobcat OPC go to “Parts Catalog” and select a part you want to view. The opened modal will include the “DMS Availability” section populated with inventory data from Flyntlok.
The inventory data can also be viewed from within the pick list on the Bobcat OPC.
Pick lists Export
Dealers can export pick lists created in Bobcat OPC to Flyntlok, allowing for easy creation of draft Sales Orders or Internal Parts Orders. To export a pick list from Bobcat OPC to Flyntlok, while in the pick list on Bobcat OPC, click “Export As” and select “DMS” from the dropdown.
To view the exported pick lists back in Flyntlok, open the left sidebar, navigate to the “Parts” section, and click on the “Bobcat OPC Pick List” link.
On this page, you can view the list of parts on the pick list by clicking on the “View Parts” button.
To create a draft Sales Order, click the “Create Sales Order” button and follow the prompt.
Integration Setup
To connect Bobcat OPC to Flyntlok follow these steps:
1. Access the Integrations Page within Flyntlok
2. Choose the location you want to connect to Bobcat OPC.
3. Generate token
4. Click on the “Copy Pricing URL” button to copy the Pricing URL.
5. Click on the “Copy Cart Upload URL” button to copy the Cart Upload URL.
6. Log into your Bobcat Account at https://dealer.bobcat.com/.
7. Click on “Bobcat Parts” under the “Parts” section.
8. Select Organization/Location. Use the location for the token you generated in step 3.
9. Under the “Create New Parts Order” section, click on the “Part Catalog” link.
10. Open the “Settings” in Bobcat OPC and navigate to the "DMS Integration" section.
11. Provide the URL from step 4 to the “Pricing” field and enable it.
12. Provide the URL from step 5 to the “Cart Upload” field and enable it.
13. Click on the “Save Changes” button to persist your settings.
14. Repeat steps from 2 to 13 for each location you want to connect to Bobcat OPC.
Opportunity
Salespeople, who make use of the automated workflow tool Zapier, have expressed an interest in automating the process of lead creation in Flyntlok by integrating these two wicked cool products.
Solution
To address this need, an app was created in Zapier that integrates with Flyntlok. This app allows users to automate the creation of leads in Flyntlok through various triggers and actions within Zapier.
The following fields are exposed to Zapier via our interface:

Opportunity: Salespeople requested the ability to see the quantity on hand (QOH) directly on a Quote. Currently, users must approve or modify the quote to view QOH, leading to potential miscommunication about stock availability.
Solution: We added the display of QOH on the item lines within the Quote. This change will enable salespeople to accurately inform customers about stock availability without needing to approve or modify the quote.
Opportunity: Sales Managers have requested the ability to apply discounts to items based on their original list price, not the current displayed price. Otherwise, if the customer already has a discount in place, this would apply a discount to a discount (which is awesome for your customers, but not for you!).
Solution: Flyntlok introduced an option to apply discounts to each line item based on their original list price, ensuring each discount is calculated correctly from the list price rather than compounding discounts. This option is available only if the tenant is configured to calculate discounts line-by-line.
The "Apply Discount" form will now include two options for discount application:
Opportunity: Salespeople requested that when processing a Sales Order for an “Account Customer”, they would like to be able to more easily track if a signature had been collected on a Sales Order.
Solution: We have introduced a new option to display a warning when attempting to process a Sales Order. This prompt will show up when clicking on "Apply Payment & Process" if the Customer is an Account Customer, and their signature has not yet been collected.
It will also show a message by the Process button:
The warnings can be enabled via the Wrench Icon -> Flyntlok Settings
To further improve visibility, we have added a "Signed" badge at the bottom of the page. This feature is enabled for all standard Sales Orders.
Opportunity: Salespeople requested support for our more streamlined “Pay & Process” workflow when requesting payments via Text-2-Pay.
Solution: You can now select “Initiate Payment & Process” when requesting payments via Text-2-Pay.
Opportunity: Service Managers have requested the ability to copy files from one Work Order or Job to another, especially when dealing with Warranty Work Orders, which might be split off from the original Work Order or onto new Jobs.
Solution: We have introduced a dialogue box that allows users to copy both Work Order-level files and Job-level files to other Work Orders and Jobs as desired.
Click on the transfer icon on the file line:
To transfer a file from one Job to another the form requires the user to select a Work Order and a Job. Users also have an option to keep the original file.
Opportunity: Service Managers requested the ability to set a customer-pre-approved dollar amount on a work order and to be informed when this amount is exceeded by the projected or actual cost of the work order.
Solution: Users can now choose to apply a work order pre-approved amount when creating a work order.
Once on the work order dashboard, this will be visible in General section of the page. It can also be edited here.
If, for any reason, the actual or projected cost of the work order exceeds this amount, a red banner will appear on the top of the work order dashboard.
Anyone who is signed up to be notified when this happens will receive a notification.
Once the costs are equal to or below the pre-approved amount, the banner will disappear.
Additionally, users can set a default pre-approved amount on the customer edit page.
This amount will be automatically applied to work orders for this customer unless it is overridden at the time of creation.
Opportunity: Receiving Managers requested that the “Responsible Locations” of machines automatically update when the location on a Machine Receiving Voucher is changed.
Solution: Flyntlok introduced a prompt that appears when the location on a Machine Receiving Voucher is modified. This prompt asks users if they want to update the physical locations of the machines to match the updated location on the voucher.
Opportunity: Salespeople requested the ability to view and edit a Machine's comments from the mobile view.
Solution: We now show the Machine comments on our Mobile Machine Dashboard. It is editable by clicking "Edit" on the page.
Opportunity: Sales Managers expressed the need for Task related notifications so that users are made aware when a task has been assigned to them.
Solution: Users are now able to receive notifications when they are assigned to a Task, either as the primary or secondary person on the task.
How to Enable Notifications:
Complaint: When printing out or emailing a Work Order the tax amount is not included in the total.
Correction: Fixed.
Complaint: Users reported errors when an Item was set as a Kit sub-item of itself.
Correction: We no longer allow a user to set an Item that is a Kit to be its own sub-item. Waaay too circular…
Complaint: Users reported not being able to apply an above-cost discount to some parts orders.
Correction: Fixed.
Complaint: Users reported that processing a Job that didn’t have any Parts Orders would not mark the job as “Approved”.
Correction: Fixed.
Complaint: Users reported that if you clicked into the Quantity or Fulfilled Quantity fields on the Point of Sale, the cursor would get placed at the end of the number. So if you wanted to change the value, it required that you highlight/select the whole field value first. This issue was both error prone and required extra clicks.
Correction: Fixed. If you click into either of the Quantity fields, we highlight/select the existing value so that if you type in a new value it will overwrite the previous value.
Complaint: Users reported that all Flyntlok journal entries were taking a very long time to process.
Correction: Fixed.
Complaint: Users reported that the incoming call page would crash when receiving calls from some numbers.
Correction: Fixed.
Complaint: Salespeople reported that they would accidentally change the payment amount with the mouse scroller.
Correction: Scrolling with the mouse in the payment field has been disabled.
Complaint: After accepting a Quote, users reported seeing the cost of the Quote’s Model lines change.
Correction: Fixed.
Complaint: Users reported being shown non-sellable machines when associating machines to model lines on the Point of Sale.
Correction: Fixed.
Complaint: Users reported discount structures not being correctly applied to Kits on the Point of Sale.
Correction: Fixed.
Complaint: When editing an Item Purchase Order, a shipping method would be chosen by default. However, users could not change the default that was being selected, and they may not have realized a shipping method was being chosen automatically.
Correction: Fixed. The shipping method selector now displays a prompt to select a shipping method if one is not set, making it more obvious when a shipping method has not been chosen.
Complaint: Users, particularly those in the Northeast of the US, but ultimately any real basketball fan, have complained about the fact that the Boston Celtics have not won the championship since 2008. This has been particularly frustrating some years because they clearly had the better team, especially in 2023.
Correction: Fixed. Flyntlok made sure that the most talented NBA team in recent history (probably since '86 Celts) won the championship this year in an epic manner and clearly illustrated to all of North America that they are the best team in the league. Our Boston office is currently coordinating the Duck Boat parade with city officials.

A few large customers and some new Flyntlok prospects have found that QuickBooks online isn’t a fit for their business due to their ownership complexity, number of locations, multiple currencies, or for other reasons. We have been asked to integrate with the Sage Intacct accounting system.
Solution:
Flyntlok has been a proud integrator with Intuit’s QuickBooks Online, one of the premier accounting packages in the industry, since our inception. However, we are excited to add an integration with the Sage Intacct accounting package. Sage Intacct is the industry’s most modern, powerful, and scalable accounting software geared toward larger and more complex dealers, specifically those with numerous branch locations. Flyntlok and Sage have a two-way sync process to move reference data, transactions, and balances between the products. Synchronization can happen automatically or can be manually initiated in order to provide a review process as part of your workflow.

Opportunity:
In our July 19th Release, we debuted the new CRM "Reviews" report, which tracks and displays customer reviews submitted from Google. Salespeople have requested reviews left on the company's Facebook page be included in this report.
Solution:
We have incorporated Customer reviews posted on your business's Facebook page into the"Reviews" report located in the CRM Tab of your Left-Hand Navigation menu. This report will retain all of its previous functionality and still allow users to view the company's aggregated Google/Facebook scores, respond to reviews, and send an email or SMS message requesting a review of the company. (N.B. While Flyntlok has completed this integration work, the final release is pending a Validation Review by Mark Zuckberberg… or someone that works for him. That should be completed within 5-10 days and then you can set this up. Please contact a Flyntlok consultant for any assistance.)
To integrate your company's customer Facebook reviews into the "Reviews" report, you will first need to connect your specific Facebook page to Flyntlok. This can be accomplished by navigating to the "Integrations" page. (Admin Editors Wrench->Flyntlok->Integrations). From here, you can select the button to log in and connect to your Facebook account to Flyntlok.
If your company's Facebook account has multiple pages representing alternate branch locations, you will have the ability to link multiple Facebook pages into Flyntlok. Once you have entered your account login information, Fyntlok will display a list of all "Pages" associated with the account, where Users can select which pages to connect with Flyntlok. You can add and remove account pages by selecting the edit button on the "Facebook Settings" section of the integration page.
Users can respond to customer reviews by selecting the button of the individual line. For responses to Facebook reviews, Flyntlok will provide a link that will redirect Users to the Facebook reviews page, where they can respond to individual customer reviews.
Flyntlok Users will also have the option to send an SMS message or email to customers, requesting they review your company via Facebook Reviews. This request can be sent out to an individual customer or a bulk customer list and provides a link to the company's Facebook account and the Google Review page.
Opportunity:
In the last release, we launched the new "Contracts To Be Billed" report, which allows Flyntlok Users the ability to generate and invoice active Rental Contracts in bulk. Our next iteration is to further streamline this process by auto-applying account payments to invoices when the associated customer is an Account Customer.
Solution:
Account payments will now be auto-applied to invoices generated where the associated customer is an Account Customer. Flyntlok will then move the invoice into a "Delivered" status. Invoices where the associated customer is not an account customer will be generated in a "Draft" status and will still need a payment. To make the Contracts associated with account customers more obvious, we added a new "Customer has Account" column to the report.
Opportunity:
Purchasing managers have requested an additional warning be added to the Draft Purchase Order Page when the top-left "Delete Layout" option is selected. Currently, when adjusting layouts, if the delete button is clicked accidentally, the only way to cancel is to close the window.
Solution:
We have added a "Delete Layout?" pop-up to the "Draft Purchase Order" page that will display when the "Delete" button (of the page layout section) is selected, and Flyntlok will now ask Users to confirm if they wish to delete the selected layout.
Opportunity:
Flyntlok managers have requested that we create fewer steps for executing certain actions after looking up a Vendor.
Solution:
We have updated the prefix searchers Vendor search (V?) results page.
When attempting to look up a specific Vendor from the Flyntlok home page searcher using the V? prefix, you will be directed to a results page where Flyntlok will display a list of all possible Vendors matching your search. We will now display a button beside each returned result. Users will have the ability to select from several actions including: creating new Purchase Orders or Machine Purchase Orders; adding new Models; and importing Purchase or Return Orders from a spreadsheet.
Opportunity:
In our August 30th Notes, we released a new indicator titled "Has Contacts" to the Customer Dashboard, which shows Users if a specific Customer has Full Contacts associated with it for marketing purposes (A "Full Contact" is a contact that has all of the following details: contact name, phone number, and email). Flyntlok Salespeople have requested we instead display the number of Full Contacts associated with the Customer record.
Solution:
We have changed the title of this indicator from “Has Contact” to “Full Contacts,” and Flyntlok will now display the number of Full Contacts associated with the Customer record. Contacts associated with the Customer that do not have all required fields will not be included in this count (i.e. is missing email or phone number).
Opportunity:
Flyntlok Users have requested additional Machine Warranty information be added to the Machine Dashboard.
Solution:
We have added new fields to the Machine Dashboard to display Internal Warranty Start and End dates and Powertrain information. To add this information to Machines in your inventory, navigate to the Machine's Dashboard and select "Edit" from the button drop-down menu.
Opportunity:
Service managers have requested a new field be added to the Machine section of the Work Order dashboard to display the "Manufacture Year" of the Work Orders associated Machine.
Solution:
We have added a "Machine Year" field to the "Machine Section" of the Work orders "Info Tab", which will display the associated Machine's manufacture year. This field will only display for Machines where the "Manufacture Year" is populated.
Opportunity:
We recently released the "Customer Item Pricing" feature, which allows Flyntlok Users the ability to set up a temporary discount on an Item for a specific Customer. Flyntlok managers have requested we add permissions around this feature so Administrators have the option to allow or restrict Users from using the “Customer Item Pricing" feature.
Solution:
We have added a new permission to the Customer section of the "Access Control" page, allowing Flyntlok Administrators to allow or restrict User's access to the “Customer Item Pricing" feature. Administrators can navigate to the setting by selecting the icon in the top right corner of any page, selecting "Users", and then choosing "Access Controls" from the drop-down menu.
Complaint:
If a User was creating/editing a Customer and if the User clicked out of the pop-up entry form, the page locked and the Save button was no longer selectable.
Cause/Correction:
Fixed. When creating a new Customer, clicking out of the pop-up will no longer lock the page.
Complaint:
Flyntlok Users have encountered an issue when creating an Item Purchase Order that contained a Special Order and Stock Quantity of a particular item. If the item was received with additional quantity from what was ordered, and the Sales Order is reversed, the SO becomes broken, and you can only fulfill the original Special Order quantity for the sale.
Cause/Correction:
Fixed. When receiving items on an Item Purchase Order, if any additional quantity is received for items associated with a Special Order, Flyntlok will fulfill the Special Order quantity and then apply the remaining quantity to stock.
Complaint:
Flyntlok users were reporting an issue where Flyntlok was unable to return search results when attempting to search a time period between two dates from the "Sold Machines" report.
Cause/Correction:
Fixed.
Complaint:
Purchasing managers were experiencing an issue when adding a Customer Shipping Address to a Machine Purchase Order when the shipping address exceeded 100 characters. The user would receive a "Could Not Edit Purchase Order" error message and the address was not saved.
Cause/Correction:
The "Ship to" address length allowed on the Machine Purchase Order was shorter than the address length allowed on the Customer Dashboard "Customer Shipping Addresses" field. (Yeah, that was stupid of us.) We have increased the character limit on the "Customer Shipping Address" field of the Machine Purchase Order and aligned it with that of the Customer Dashboard. (That was smart of us.)

Opportunity:
Salespeople have requested the ability to set up a temporary discount on an item for a customer so that each time that customer buys that item there is a default discounting rate set. This will save users time from having to re-add the discount from the Point of Sale and serve as a reminder that the customer has that discount available.
Solution:
We have added a new "Item Discounts" module to the Customer Dashboard that will allow users to add and edit individual item discounts and set a specific expiration date for the discount. This new module will be found in the Action Buttons drop-down menu.
We have also updated the discount structure of the Point of Sale to incorporate the Customer Item discounts so that you can save a new discount directly from this screen. When adjusting/discounting the list price of a line item from the POS, Flyntlok will now give users the option to save that discount to the customer. Item discounts saved via the POS will then populate the "Item discounts" module of the Customers Dashboard.
Opportunity:
Flynlok offers users an option to email a "Signature Request" or "Lease Agreement" to customer contacts to confirm the rates and values of a Rental Contact. Currently, the email sent out is including our Flyntlok logo and mailing address. Because this can be confusing to recipients that are unaware of Flyntlok, our users have requested to have their actual company logo and address information added instead of Flyntlok's.
Solution:
We have added a new option to upload a custom Company Logo image on the Flyntlok Settings page.
To set a custom Company logo that will display on the Rental Signature Requests and Lease Agreement Emails, you will navigate to the "Admin Editor Wrench" icon in the upper right corner of the home screen and select the "Flyntlok Settings" option from the drop-down menu. From the "Flyntlok Settings" page select the "Company Logo" link and upload a custom Company image from your device. Once uploaded this image will be displayed on the Rental Signature Request and Lease Agreement Emails.
Opportunity:
We recently released a new feature that allows users to merge open Special Ordered quantities into an existing Purchase Order. The issue is when multiple Special Orders are merged into the same PO they are combined into one line item. This makes it unclear that the remaining quantity from the original Purchase Order is not related to the Special Order. It was also not possible for multiple Special Orders to be merged into the same PO for the same item. Flyntlok users have requested that merged Special Orders populate the PO in individual line items.
Solution:
We have updated the Special Order merge functionality so that when merging a Special Order (or Orders) into an existing Purchase Order, the PO will display each Special Order as individual line items distinct from the original PO quantity.
Opportunity:
Flyntlok now offers Users the ability to merge open Special Orders with regular Stock Orders when using the Flyntlok Draft Stock Order page. Purchasing Managers have requested a more obvious indicator when an item has open Special Orders available to merge with Purchase Orders.
Solution:
We have added a new " Has Mergeable PO" icon to the Special Orders column of the Draft Stock Order page. This new icon will be displayed with open Special Orders quantity only when there are available PO's to merge the Special Order quantity into.
Opportunity:
Salespeople would like to see how many days or months an individual open Lead has been active. Flyntlok currently displays the Lead creation date on the Leads report but does not calculate a day's active "age".
Solution:
We have added a new "Age" field to the All Leads report which will display the individual Leads' age by days based on the creation date.
Opportunity:
Flyntlok offers customers the ability to have a "Text Us" widget on their company website, which allows potential customers to submit inquiries to the company. Flyntlok then takes these incoming messages and generates a new CRM Lead for this potential customer. Salespeople have requested that the associated location and department be added to the new Lead's name.
Solution:
If you have Branch Locations and Department fields set up on the "Text Us" widget, Flyntlok will now apply this information to the new Lead's name.
Opportunity:
Flyntlok offers users multiple different ways to edit and document the mileage from a Machine's odometer through the course of a Service Work Order. Users have requested a new report that will display a history of mileage logs for a specific piece of equipment.
Solution:
We have added a new "Mileage History" section to the Machine Dashboard which will display all Work Order check-in mileage logs as well as any edits to the Miles field of the Machines edit page. This new section will display the ten most recent entries as well as a link that will redirect users to an alternate view that will display ALL mileage logs for that Machine. Flyntlok will display the date, the mileage, and the user's name that performed the logging.
Opportunity:
Sales Managers using the new Gravity Payments emergepay system have requested billing address fields be added to the Text2Pay payment type. Gravity Payments offers additional discounts for enabling fraud protection steps, such as billing address fields, on the Text2Pay payment option. Flyntlok currently does not provide the billing address details over to Gravity for address verification.
Solution:
We have added the billing address details to the Text2Pay settings. Default billing information (pulled from the Customer's Dashboard) will auto-populate into the payment system when the Text2Pay option is selected, but Users will also have the option to edit this new field. N.B. Editing the address fields here does not update the original contact record.
Opportunity:
Rental managers in Anchorage, Alaska would like the option to apply a Municipality-specific tax charge on the rental of motor vehicles. Anchorage requires the collection of an 8% tax on the rental of motor vehicles with a 30-day cap of $240 for trucks, vans, and RVs or a $120 cap on all other motor vehicles.
Solution:
We have added a“Charge Municipality of Anchorage Tax” field to the Model Dashboard's edit page, which allows users to associate the specific MOA tax charge to all Machines of that particular model. We have also added a new “Charge Municipality of Anchorage Tax” check-box on a Rental Contract, that when selected, will charge the specific tax rate on the Rental Contract. This box is auto-selected when a contract is created but can be overridden by the user.
Complaint:
Flyntlok users were experiencing an issue when trying to email Sales Order PDF documents to customers where the contact record contained an email address but no contact name. In this scenario, the Flyntlok user received an error and the email was not sent.
Cause/Correction:
Fixed.
Complaint:
Flyntlok users were having an issue when trying to manually type in the start date of a Rental Contract, rather than using the date picker. In this scenario, the page would error out and users were then redirected to an error page.
Cause/Correction:
Fixed. Flyntlok users will be able to type out dates without having to break the keyboard stride.
Complaint:
Users were experiencing issues where sold Machines were able to be added to a Rental Contract via the "Actions" button of the Machines Dashboard.
Cause/Correction:
Fixed. We have removed the ability to select the "Rental Contact" button from the Machines Dashboard when the machine is in a "Sold" status.
Complaint:
When an item's description is lengthy, the generated PDF document from the Point of Sale moves the entire item line to a new page, creating an awkward formatting issue. Flyntlok users have requested that the unnecessary extra spacing be removed from PDF documents generated from the POS.
Cause/Correction:
We have updated the Point of Sale PDF allowing item descriptions to be broken up between two pages.
Complaint:
Users reported an issue when they were adding an Item onto an existing Sales Order where that Item already had previously been added to the SO and where they merged the two line items into one. In this scenario, the Purchase Plan would only account for the original Line Items' order quantity and did not reflect the updated merged quantities.
Cause/Correction:
Fixed. Purchase Plans will respect the combined quantity set from the Point of Sale.
Complaint:
Service Managers were experiencing an issue when applying a deposit to a Service Work Order where, the deposit was not auto-populating onto the final invoice.
Cause/Correction:
Fixed. The deposit will auto-populate on the final invoice.
Complaint:
Users were experiencing an issue when trying to invoice a Work Order with both Warranty jobs and Customer jobs. The customer invoice that was generated displayed costs on items associated with Warranty jobs when they should show up as $0.
Cause/Correction:
Fixed. All the warranty jobs, parts, and labor are included on the customer bill at $0 cost and $0 list.
Complaint:
Rental Managers were experiencing an issue when closing a Rental Contract, where the Contract had been fully paid for on a previous invoice including all fees and charges, Flyntlok was still generating a final invoice for $0.00.
Cause/Correction:
Fixed. Flyntlok will close the Rental Contract and no additional invoice will be generated.
Complaint:
Users were running into an issue when attempting to see how many of a certain Machine Model their company has sold, from the Sold Machines report. The report was excluding results due to a max capacity set at 15,000 results per page.
Cause/Correction:
We have increased the results limit of the Sold Machines report to 25,000.
(And kudos to you folks for selling more than 15,000 machines.)
Complaint:
Salespeople were having issues with Customer Sparks Orders not displaying the Stock available to transfer from other branch locations.
Cause/Correction:
Fixed. Spark Orders will display available stock from other branch locations. This information will be indicated by the (*) icon in the item line's QOH box.
Complaint:
Ok, bear with us here as this is a confusing bug: If a user took a Deposit (e.g. $50) on a Work Order then the Customer has a balance of $50 (since the WO is still in progress). Then you later go and sell a part to the Customer for $30 and you apply the payment using the “Deposit” payment type. The balance for the Customer should now be $20 since you just used part of their earlier Deposit for this sale. Later you go and finalize the invoice for that original $50 Work Order. The Customer should only have a balance of $20 now, but the invoice for the Work Order was still showing the original $50 deposit. Later you find out the Customer owes you $30!
Cause/Correction:
Fixed. The Work Order will now know if the deposit was partially (or completely) used on a separate transaction.
Complaint:
Service Managers were seeing a discrepancy between the timestamps displayed on the service technicians' "Timecard" Report and the actual Work Order.
Cause/Correction:
Fixed. We have addressed a timezone error on the "Timecard" report. Flynlok was incorrectly displaying clock-in/out times in the Alaska standard time zone regardless of the company location.
(Lesson learned: World does not revolve around Alaska.)
Complaint:
Flyntlok users were receiving an "Error Sending Message, Contact Flyntlok for Assistance" notification when attempting to send an SMS text message from the CRM Hub when there is an invalid phone number.
Cause/Correction:
We have updated the message displayed when attempting to send SMS messages with invalid phone numbers. (N.B. Flyntlok does not know if the number used is in service or is capable of receiving SMS messages, simply that the number/format was not valid.)

Flyntlok encountered a problem during an upgrade on Monday afternoon, June 19th, around 1 pm Eastern Time, which temporarily disrupted the searching function intermittently for some periods thereafter. Performance and reliability are extremely important to us and we would like to apologize for any inconvenience this caused you. Our development team has introduced a new search infrastructure and added additional preventative measures. We will work hard to ensure such instances are not repeated and continue to provide the best service possible.
Opportunity:
Flyntlok allows users to create and save contact information for customers . You can save contact information from the customer's dashboard, the point of sale, or the CRM Hub. The issue is that there is currently no centralized place to view and edit a list of all contacts. This makes it challenging to manage contacts on a company level.
Solution:
The Flyntlok team is currently in the process of a significant update to our general Contact Management Capabilities. This release we created a new view that contains a list of all of a company’s contacts. From this new report you can filter for the individual contact and, when selected, you can edit the contact: Name, linked customer, email address, phone number, and associated tags. Flyntlok users will now be able to access the "Customer Contacts" from the CRM tab of the left-hand navigation menu.
Opportunity:
Salespeople like to be able to easily communicate with their contacts from the list of all company contacts, but Flyntlok did not offer that capability
Solution:
When Flyntlok users select a specific contact from the contacts report, they will be redirected to the contacts information page. From here users can view past SMS messages and continue the correspondence. If a previously saved, valid phone number is added to the contact, any conversations with that phone number will be available to view.
Opportunity:
Sales managers often like to see a history of all interactions with a specific contact:
Solution:
Add a "History" tab to the contact's information page. On the Contact Information page for a specific contact, the History Tab will allow users to view a timeline of customer interactions. All Work Orders, Sales Orders, Rental contracts, and CRM leads created, and associated with the contact will be recorded on this timeline. Users will be able to manage the timeline by archiving individual events, Archived events will be removed from the default timeline and placed into a separate view.
Opportunity:
When associating a machine with a new lead from CRM Hub, the associated machine's information is not displayed on the lead page.
Solution:
For associated machines: include serial, machine number, owner name, and the current status of machines.
Opportunity:
The new lead system of the updated CRM Hub offers a more efficient way to manage new potential sales. However, we have noticed there is no convenient way to quickly navigate to and from an individual lead page back to the All Leads report
Solution:
Add a link to the lead page that will redirect you back to the All Leads report. This new link will be displayed above the lead name in the top left corner of the page.
Opportunity:
Flyntlok offers users the option to generate a packing slip, from the Point of Sale, which will display the package's contents, delivery address, and customer name making it easy to identify during dispatch. The issue is there is currently no acceptance line on the packing slip.
Solution:
Add a signature line to the packing slip PDF.
Opportunity:
The Item Type of “Note Items” are used to display information on an Invoice. When added to a Sales Order, the rate/amount set on the note item is not applied to what is debited to a pending payments accounts. Currently, if the list price of a note item is manually adjusted, this would result in the transaction being unreconciled in QuickBooks Online. The amount applied to Pending Payments needs to be the same as the Invoice Balance.
Solution:
Flyntlok added a restriction that will prevent Flyntlok users from editing the list price on invoice lines with Item Types that indicate the item is a note.
Opportunity:
At the bottom of the PDF, generated from the Point of Sale, is a section to record the buyer's acceptance with a signature line. The issue is Flyntlok currently does not offer a field to record a seller's acceptance. This can be problematic when dealing with a third-party service that requires both a buyer's and seller's acceptance signature.
Solution:
Flyntlok added a new setting to the Settings page that will allow Flyntlok administrators to add a seller's acceptance signature line to the PDF generated from the Point of Sale. Please contact a Flyntlok Consultant if you would like assistance in setting up this feature.
Opportunity:
When converting a Sales Order to a quote, Flyntlok requires users to set an expiration date for the new quote. This date is then displayed on the PDF generated for the quote. The issue is that Flyntlok currently does not show the expiration date anywhere on the actual Point of Sale page.
Solution:
Add a "Valid Until" field to the internal details section of the detail tab.
Opportunity:
The payment system currently displays the customer information as well as the date a credit card payment was applied to a Sales Order. However, the date is only applied to credit card payments
Solution:
Flyntlok now includes the payment date on all payment description lines.
Opportunity:
Kit items allow Flyntlok users to sell a group of items at a customized list price under a parent item. When the Kit is configured, Flyntlok will take the cost of the sub-items associated with the kit and apply them to the parent item. The issue is if the parent item is sold with a cost set, Flyntlok applies both the cost set on the parent item and the sub-items resulting in transactions being unreconcilable in QuickBooks.
Solution:
Flyntlok removed the ability to set a cost on Kit type items and we now show an expected cost on the kit item dashboard.
Opportunity:
Salespeople find it helpful to see the available inventory for kit items, which Flyntlok does not currently offer.
Solution:
On the item dashboard Flyntlok now shows the potential kit QOH based on the quantities of the sub-items
Opportunity:
When configuring kits, Flyntlok users would like to view the cost of all of the items making up the kit. This would assist in specifying a new price for the kit and to prevent losing money on kit sales.
Solution:
Added a total cost field, that will display the cost of sub-items added to the kit.
Opportunity:
When configuring Quick Kits from the Point of Sale, Flyntlok users would like to view the cost of all of the items making up the kit. This would assist in specifying a new price for the kit and to prevent losing money on kit sales. Currently, only the cost margin is displayed.
Solution:
We have updated the Point of Sale Quick Kit feature. The "cost margin" field has been renamed to "Profit" and we have added a new "Show Cost" check box. When selected, the total cost of all associated sub-items will be displayed.
Opportunity:
Flyntlok users are looking to clarify the "PO Number" column of the Purchase Order's PDF. Vendors are currently getting this field mixed up with the Purchase Order number.
Solution:
We have renamed the column, and will now display it as "Customer PO Number"
Opportunity:
Flyntlok users have the option to transfer service jobs. You can choose to transfer the job to an active Work Order or generate a new Work Order. The issue here is when the option to transfer to a new or existing order is selected, the logs of the transfer will only appear on the original Work Order.
Solution:
We have added enhanced logging on job transfers. Action logs will now refer to both Work Order IDs involved in the job transfer and the log will appear on both Work Orders' action logs.
Opportunity:
Flyntlok offers users a variety of different reports, accessable through the left-hand navigation menu. We aim to provide you with valuable insights and data through these reports. The issue is that there is currently no way to compress larger reports.
Solution:
We have added a new "Compact" button to Flyntlok Reports that will allow users to compress the grid view’s data within the report.
User issue:
The machine's dashboard is correctly showing the status as RESERVED however it is not indicating the active rental reservation at the top of the page.
Resolution:
Added to top of the page for viewing.
User issue:
On a Sales Order and using the "Scan Mode" option: If the scan fails, the error message will not populate until an additional item is scanned.
Resolution:

On the Machine Dashboard, if the Flyntlok user navigates to the balance sheet and selects the Liabilities or Flooring Links, they are directed to a Create New Journal Entry window rather than to that Existing Journal Entry.

Clicking these links on the machine dashboard will redirect you to the specific journal entry to view financial information regarding the machine.
User issue:
When adding an item with a Core, where the underlying items are serial stock, the Sales Order will not close until the Core and Dirty Core are set to Inventory and the top-level part is re-added.

When an invoice detail represents a core, Flyntlok will not enforce traceability on it.

When a Flyntlok user deletes a Sales Order that is in pending status and is associated with a Special Order, the associated request/PO is not deleted with the sale.

You will now be able to accept a single payment to cover the cost of several different Sales Orders for a customer. This will help streamline the experience for collecting payments as well as saving your business transaction fees. To pay off outstanding Sales Orders you will want to navigate to the customer's dashboard. In the customer information section, you will see a new field titled, outstanding Sales Orders. This new field will display the number of orders still requiring full payment. You can then select the (pay icon) to review and select from a list of outstanding orders to pay off.
A list of outstanding Sales Orders will then display on your screen. From this list, you can review the date, status, and outstanding balance. You can then choose which order(s) to pay off. Once selected you will be able to customize the amount applied to each individual order and generate the new pay-off Sales Order by selecting the Create Invoice button.
From the pay-off Sales Order, you can now add a payment type and select the order button.
When adding a machine to a new Sales Order and selecting the (Add and New) option, the previously selected salesperson will now default into the field when adding additional machines.
We have added a new item type, titled (KIT). This new item type will give you the ability to sell a group of parts at a set list price.
To set up a kit, you will first need to create a new item. This new item will be the placeholder for the kit items. When creating the kit item you will also be able to associate different items from your inventory to the kit and set a list price on the kit item. When you add the new kit item to a transaction all associated parts will also populate on the transaction but Flyntlok will only set the list price on the kit.
We have added a new section to the machine receiving vouchers for associating a machine with a quoted model. If there is a quoted model on an open sale, you will see an Associate button in the Associate Invoice field. Once clicked a list of open sales orders, ordered from oldest to most recent, will display on your screen. Once an invoice is selected, the machine will be allocated to the sale.
You will now be able to export Machine Purchase Orders to an Excel spreadsheet so that they can be imported into OEM ordering systems.
We have made an update to the rental creation page. When searching for available machines to add to a rental, if the expand all option is selected, all new search results will be default expanded. Previously when you search for a machine all the info was defaulted to the collapse all view.
We have added an editor for updating the work order status change automated text message templates. This editor can be found on the Flyntlok Settings page under the Service SMS Templates section.
When creating a new machine to associate with a Work Order, you will now see the model's description populate in the drop-down menu of the model searcher.
When creating a new journal entry, Flyntlok will now notify you if there are mismatched account types and line types. CAP lines can only have asset accounts associated with them; COS lines can only have expense accounts. When types and accounts do not match on a given line, you will see an error icon to the right of the account name. Hovering over this icon will show a pop-up explaining why it is displayed/ what is mismatched.
You will also see a new message populate your screen if you are trying to submit a journal entry with mismatched lines.

We have added a new setting to the work order to make the job approval processing quicker. From the Jobs Tab of the Work Order dashboard, you will see a new option in the Actions dropdown titled Process Jobs. When clicked, you will see a list of your jobs, allowing you to select and process the part orders associated with the jobs.
When the process button is selected, Flyntlok will move the internal parts orders tied to the selected job(s) forward from a Quote or Draft status into a Pending or Pickup status.
When a technician clocks out of a job, Flyntlok requires them to log a note. You will now be able to view this note from the corresponding labor punch. From the Labor Tab of the Work Order, you will now see a new Note Icon on the labor punches. When you hover over this new icon, Flyntlok will display the tech note added at that clock-out.
We have added additional Credit Card information to the Sales Order. When adding a customer credit card as a payment type, you will now see the card number, the name on the card, the date the payment was taken, and the approval number populate on the payment line of the Sales Order and the Sales Order PDF.
We will now tell you what fields will be changed on the model when updated from a machine.
We have added new settings to the Machine Receiving Voucher, you will now be able to generate a new journal entry to put the machine into a flooring account! When the QB flooring field is set on the receiving voucher, Flyntlok will now generate a journal entry for the machine instead of creating a bill. We recommend also setting the category (Floored) checked to indicate yes. This will allow Flyntlok to create new reports on the floored machine. Please reach out to the Flyntlok support team to review this workflow!
This information will immediately populate the machine's balance sheet, viewable from the machine's dashboard.
We have added the Machine Miles and Hours categories to the column chooser of the Machine Receiving Voucher.
We have updated the settings of the rental contract call-off. When a rental contract is called-off, invoicing uses the call-off date if it exists; (otherwise uses check-in date.) The Call-Off date will now populate on all relevant rental PDFs and lease agreements.
We have updated the Tax Rules pop-up on the customer's dashboard. This will make configuring a customer's tax rules easier.
You will now be able to send files such as PDFs, Photos, or Videos to new leads when communicating with them via SMS.

We have added notifications to more actions on the Service Scheduler. The assignee of the appointment will now receive a notification when a new appointment is created, an appointment is edited , or if the assignee has changed.
You can now unlink a sales order from a work order if the sales order is in draft status.
We have added a new field for Engine Model to the machine section found in the Info Tab of the Work Order.
We also added this information to the work order PDF.
You can now select multiple jobs to be transferred to different work order. Previously you could only transfer a single job at a time.
Serialized part numbers will now display the serial number when the work order PDF is printed.
We added status filtering on the mobile view of the work order list.
We have added additional information to the list of estimates. You will now see the a timestamp and the total of the estimate.
Service history is now visible from the mobile view of a machine.
On the sales order PDF, we updated the summary table to better represent what customers need from a receipt. We now show your lines subtotal, discounts, shipping and roll that all up into a taxable subtotal.
You will now be able to add new vendors and models directly from the point of sale while accepting a trade in.
We have added a new "Created By" field to the Purchase Order PDF. This new field will be located, left of created date and display the creators name, email and phone number. This should help provide your vendors a good point of contact when the purchase order is emailed.
You will now be able to reverse a Purchase Order that is in Ordered status. This will set the Purchase Order back to New status and remove the date ordered.
Note: This does not affect any 3rd party systems for integrated ordering.
Flyntlok will now update the minimum order quantity when reporting a minimum quantity override exception. Previously this had to be done manually.
You will now be able to flag a machine to require an equipment condition report (ECR) form on rental check-out and check-in.
We added validation on the hours field when checking in a machine from a rental. We will require you to input the hours if the line is a machine, previously this was auto-filled with the check-out hours. We will also warn you when the check-in hours are less than the check-out hours.
On the QuickBooks Journal Entry page we have add an option to post the journal entry as a vendor credit.
Flyntlok has always asked for the source of the new customer when created from the New-> Customer form. You will now be able to document the source of the new customer from all customer creation locations.
We have updated the SMS section of the customer dashboard to show all SMS communications with the phone numbers registered under the customer profile. Previously, Flyntlok automated SMS messages would not populate into this field.

CRM is a major focus for dealers and that makes it a major focus for us! Look forward to more updates to this system in the coming weeks.
You can now access your SMS conversations from the mobile view of Flyntlok.
You can view a list of your conversations and search for any existing conversations or contacts.
Interacting with a conversation by sending a message will automatically subscribe you to the conversation. You can unsubscribe by clicking the star icon.
Responses will show up live so you can continue to interact with your customer. All of this interaction is logged under the customer profile in Flyntlok.
You can now create a linked rental contract from the actions dropdown on a lead.
We have updated the settings around the "Text Us" website widget. Now if a potential customer is trying to input a non-US phone number they will receive a prompt from Flyntlok to instead submit an email address.
We have added back order column to the sales order PDF. Backorder is any quantities not yet picked or received via a special order.
For better visibility, we have updated the item transfer icon to be highlighted green if there are any linked transfers! This will help prevent accidentally executing duplicate transfers to fill a sale.
When a substitution is made on an item purchase order, you now have the option to retain the substituted part if you have not received any. If you have received quantities against the substituted part, we will only substitute the remaining quantity, and the PO will retain the original line for the amount already received.
Voiding a line, or deleting an entire purchase orders, will now go out and mark the associated machines as "Deleted". Previously, this had to be cleaned up manually.
You can now transfer a single labor punch to a new work order and job by clicking the transfer icon found on the labor tab.
You can now add/edit customer contacts while creating a work order.
Flyntlok will automatically clock you out of work orders when logging out. This applies only when you choose to log out. If you close your tab, exit your browser, etc. you will remain clocked in. This applies to both ERP and DMS Work Orders.
Flyntlok will show you a warning when you try to invoice a work order that has quoted parts. Quoted parts will not be added to the work order invoice.
We have added this field as an option in all places you can create a customer in Flyntlok. Previously, you could only record the reason for a new customer from New -> Customer.
You can now set a default work category by customer. This new field is found in the "Other" section while editing a customer. Customer Dashboard-> Actions-> Edit
We have added rental as a source option in the win/loss report with a link to the rental contract in the source link.
You can now configure a vendor to record purchases or sales by machine. When the option is set to yes, you will get a single journal entry for each machine involved in the transaction when posting to QuickBooks Online.
Users will now see a warning message when they are about to delete a machine model, if that model is tied to active machines. The user will then be prompted to choose the new model those machines should be moved to.

We now support the workflow for when you are shorted parts or are sent damaged parts. The shortage scenario is when a vendor doesn't send the total amount of requested parts but they still bill you for the total amount. They then send you a credit for the parts that weren't sent and require you to reorder the part or wait for a new one to be sent. The damaged scenario is when the vendor sends you a damaged item, which requires you to return that item, then wait to receive a new one, or create an order for a new one.
These two scenarios will need to be set up as PO exceptions. If your company runs into either of these situations, please reach out to Flyntlok, and we can help get you set up.
When you have the exceptions set up, this is what the exception report will look like:
Flyntlok can now restrict discounts down to the item division, item department, and vendor levels or any combination of these. This allows for specific groups of parts to be discount at a certain rate for a customer.
We also support margin as a discount basis. When this is selected, it will calculate using cost/(1-%) (% = being the percentage of margin for the sale).
To edit or add these discount structures, head to the admin editors in the upper right, then Point of Sale -> Discount Structures.
Next week we will be releasing the editor that allows you to assign multiple different discount structures to a customer!
We took another stab at how we are handling journal entries on the back end. This should correct issues where Flyntlok becomes unaware that a transaction has been deleted, and you get stuck in a dead-end.
When billing out a DMS work order, we now group the labor lines by the type of labor used and the job that it was billed on. Along with the technician names, we will show the job name the labor was clocked for.
Only the first page will show the header with your company name, logo, and work order information. The information can be found in the footer on all pages. This helps reduce paper waste and gives more space for the details of the work order. Save the trees!
In the transactions for an item, we now distinguish regular item transfers from quick item transfers.
