Opportunity

When using the "Collect Signature" feature on the Rental Dashboard, users had to select the device every time. They requested a way to configure a default device.

Solution

We have updated the Collect Signature feature to auto-select the last used device.

Enhancements to Rental Estimated Totals [#65549]

Opportunity

Users struggled to provide quick and accurate verbal estimates for Rental Contracts because the "Estimated Billable Total" on the Rental Dashboard excluded known additional charges, such as Pickup and Delivery fees. This lack of visibility could lead to confusion, underquoting, or the need for follow-up clarifications with customers.

Solution

The "Estimated Billable Total" has been enhanced to now include Pickup, Delivery, and Damage Waiver charges. This more comprehensive total is displayed prominently at the top of the Rental Dashboard, along with a detailed breakdown section. This update gives users greater confidence in providing quick, all-inclusive estimates to customers, improving both transparency and customer experience.

Point of Sale

Machine Purchase Request Settings [#65562]

Opportunity

Salespeople previously had limited flexibility when setting the "Generate Purchase Request" option during the Model configuration process. If this setting was selected incorrectly, they had to restart the entire configuration from scratch. This wasted time and increased the risk of errors. The setting also couldn’t be changed after reversing or reprocessing a Sales Order or when duplicating a Quote, adding further friction to the sales workflow.

Solution

We’ve introduced the ability to modify the "Generate Purchase Request" setting while the Sales Order is still in Draft status. When adding a Model to a Sales Order, an icon will appear near the Quantity field, indicating whether a Purchase Request will be generated for that line.

Salespeople can click this icon to easily open the Model Purchase Request Settings dialog and make any necessary adjustments. This should eliminate the need for users to reconfigure from scratch.

Addresses on Customer Search [#65565]

Opportunity

Salespeople often encounter difficulty identifying the correct Customer when multiple records share the same or similar names. This can lead to confusion, delays at the Point of Sale, and potential errors in selecting the wrong Customer profile.

Solution

To make it easier to distinguish between Customers, we’ve added address details to the Customer search results on the Point of Sale page. This additional context helps salespeople quickly and confidently identify the correct Customer, which should speed up the checkout process!

Service

Searching for Work Order Customer-Owned Machines [#65781]

Opportunity

Service Writers reported that when changing the Machine on the Work Order Dashboard's "Info" tab, the searcher displayed all company Machines instead of filtering to only those owned by the Customer. This behavior was inconsistent with other Work Order pages, and made it harder to quickly find the correct Machine.

Solution

The Machine searcher on Work Order Dashboard now defaults to showing only Customer-owned Machines. For flexibility, a checkbox has been added to allow searching across all Machines when needed.

Accounting

Sage Intacct Machine & Machine Rental Income Setting

Opportunity

Rental and Sales teams using Sage Intacct have needed a more consistent and hands-off way to ensure the correct income items are used when invoicing Machines or Rentals.

Solution

Flyntlok will now automatically apply the income items to Machine sales and Rentals for Sage-integrated tenants. We've added two new settings: “Default Sage Machine Income” and “Default Sage Machine Rental Income”. To configure them, go to Flyntlok Settings and find them under the Sage Intacct section.

Resolved Issues

Order of Lines on a Sales Order [#65020]

Complaint: When adding a new line to a Sales Order, the item would sometimes appear in random positions—top, middle, or bottom—causing confusion and inconsistent workflows.

Correction: Fixed.

Shipping Line Discount [#65142]

Complaint: When applying a discount to an entire Sales Order, the shipping line was also discounted—but this discount wasn’t visible on the Sales Order screen, only on the printed Invoice, causing confusion.

Correction: We now display the discount on the shipping line directly within the sales order UI, making it consistent with the printed version.

All Contracts Timezone [#65352]

Complaint: Managers reported that the All Contracts report was showing the incorrect timezone under the Last Updated column.

Correction: Fixed.

Pick List Displaying Deleted Parts Requests [#65369]

Complaint: Parts managers reported that the Pick List printout on a Work Order could display Parts requested from a deleted Parts Invoice.

Correction: Fixed. This printout now correctly only shows parts from active Invoices.

Updating Customer Postal Code and Address [#65300]

Complaint: Salespeople reported that changing the postal code on an existing Customer did not update the city and state for the address.

Correction: Fixed.

Approval Status of Jobs in Mobile View [#65392]

Complaint: A job marked as “Rejected” did not show its rejected status in the mobile view, leading to confusion for mobile users.

Correction: The job approval status, including "Rejected", now correctly appears in the mobile view to match the desktop display.

Clearing Machine Date Sold [#65287]

Complaint: Managers reported that the “Date Sold” field was unable to be cleared out on the Machine edit page.

Correction: Fixed.

Cause/Correction when adding a Work Order Job on mobile [#65401]

Complaint: Technicians reported that the “cause” and “correction” fields were missing when adding a Job on the mobile Work Order view.

Correction: Added these fields to the Add Job section. They can be manually entered, or will auto-fill when selecting a Work Order Job Template.

Rental Dashboard Closing After Sending Email [#65329]

Complaint: Rental clerks noted that after sending an email from Rental Dashboard, the tab would sometimes close itself.

Correction: Fixed. This issue specifically affected Microsoft Edge users. (Editorial Note: Microsoft Edge specific features frequently cause weird and esoteric bugs in Flyntlok. Always making life difficult, eh Mr Gates?)

List Price not Calculating on Machine Receiving Voucher [#65153]

Complaint: Managers reported that on Machine Receiving Voucher, when changing adding or editing a Machine's PDI cost, the Machine's “List Price” was not re-calculating based on the updated Machine cost.

Correction:  Fixed. Changing PDI now immediately refreshes the Machine's “Book Value”, which should result in the correct “List Price” calculation.

Clock-In User List Limited to Active Employees in ERP Work Orders [#65507]

Complaint: The list of users available for manual clock-ins in ERP Work Orders included all users, including people no longer employed with the shop, making it difficult to locate current employees.

Correction: We’ve improved the Clock-Ins table in ERP Work Orders to display only active users when adding clock-ins manually. Additionally, you can now search for users by typing into the input fields.

Text Filters Persisting on Receiving Voucher [#65509]

Complaint: Parts Managers mentioned that when applying a text filter to a column on Receiving Voucher, it would persist across all other Vouchers. This would cause confusion, as a search query on one Voucher may not be relevant on others.

Correction: Fixed. Only column sizes and arrangement will be persisted.

Editing Contact Name on Manage Customer Page [#65569]

Complaint: Managers editing the Contact name on the Manage Customer page noticed that sometimes the previous Contact’s last name would appear at the end of the name they just typed once they clicked save.

Correction: Fixed.

Machine Move Kind on Moves Report [#65506]

Complaint: Service Managers reported that “Move Requests” generated from Work Orders were not displaying whether they were “Delivery” or “Pickup” under the “Kind” column in the report.

Correction: Fixed.

Fees on Work Orders Generated from Service Requests [#65594]

Complaint: Service Managers reported that Work Orders generated from Service Requests were missing the default fees.

Correction: Fixed.

Contact Information on Work Orders Generated from Service Requests [#65758]

Complaint: Service Managers reported that Pickup and Delivery Requests generated from Work Orders were missing contact information for the customer.

Correction: Fixed.

Maintaining CRM Lead Association on Copied Sales Orders [#65562]

Complaint: Sales Managers noted that when copying a Sales Order that was associated to a Lead, they were unable to track the newly created Sales Order from the original Lead.

Correction: When copying a Sales Order, it will now be associated to any Leads that were associated to the original Sales Order.

Invoiced Work Orders on Job Scheduler [#65776]

Complaint: Service Managers complained that Work Orders in "Invoiced" status were appearing on their Job Scheduler page's Job list.

Correction: Invoiced Work Orders are now excluded from this list by default.

Canceling Moves when Canceling or Reverting a Rental Contract [#65779]

Complaint: Rental Users reported that “Move Requests” created from a Rental Contract were not being canceled when the contract was either canceled or reverted to Draft status. This sometimes led to duplicate Move Requests being generated.

Correction: Fixed.

NHL Playoff History [#1942-1967]

Complaint: Detroit, Boston, Chicago and the New York Rangers (the 4 US teams of the Original Six) will all miss the playoffs in the same year for the first time in NHL history.

Correction: N/A. Can only sadly shake your head.

Scan Mode on Work Order Parts Request

Opportunity

Searching for parts can be oh-so-tedious. Techs have asked for the ability to scan a barcode to add parts to a job.

Solution

When you’re requesting Parts for a Work Order, you can now click a button to enter “Scan Mode” which lets you use a barcode scanner to add Parts more quickly.

Enhancements to Scheduled Work Orders on Mobile [#60285]

Opportunity

Technicians requested an improved way to view their scheduled work orders on the mobile view.

Solution

The "My Work" page on the mobile view has been redesigned to provide a more user-friendly experience. If the "Show Technicians Scheduled Work" setting is enabled, Technicians can now:

  1. Access two separate tabs on the "My Work" page
  1. Filter scheduled Work Orders by their scheduled start date

Receiving

Close Associated Machine POs when Closing Voucher

Opportunity

Purchasers wanted a more streamlined way to close out a Machine Purchase Order after receiving it fully on a Voucher. Previously, they had to first close the Voucher, then find its associated PO and close it separately.

Solution

When completing a Machine Receiving Voucher that moves any of its associated POs to "Received" status, users now have the option to immediately close the PO. When applicable, this prompt will show up after clicking the Complete Voucher button:

Opportunity

Managing pre-delivery inspection (PDI) costs efficiently has been a challenge, especially for dealers handling high-volume orders. While some equipment dealers often use work orders to capitalize PDI costs against units, this approach is too time-consuming and inefficient when managing numerous smaller units.

The existing PDI field on Machine Receiving Vouchers didn’t allocate costs to units when posting, creating additional manual effort and inefficiencies.

Solution

To streamline PDI cost management, we've introduced a new feature that allows you to allocate PDI costs directly on machine Receiving Vouchers. This update simplifies workflows and ensures more accurate financial reporting.

Bulk Model Options Pricing Update

Opportunity

Managers requested the ability to update Model Options Pricing in bulk to align with the model pricing matrix.

Solution

A new feature in the “Bulk Model Update” allows managers to update Model Options Pricing automatically when running a Pricing Matrix against a Model. This ensures that all associated Options are priced correctly based on the latest Matrix.

CRM

Customized Reviews Requests [#57726]

Opportunity

Salespeople wanted a way to personalize the message sent to their customers when sending them a request for a Google or Facebook review. While we previously supported adding text to a Review Request, a Salesperson's customer was sent the same message template that could not be edited.

Solution

Administrators can now configure the default message by navigating to Flyntlok Settings -> CRM Settings -> General -> “Request A Review” Message,

This default message will prefill the message body when requesting a review. You can modify the message as needed before sending it.

The message will be sent to the customer with the review links included. Here is an example message shown as a text and an email:

Managing CRM Sources

Opportunity

Sales Managers needed greater flexibility in customizing “Lead Sources” within their CRM systems. This level of customization allows for more accurate and insightful reporting while better aligning lead tracking with the unique needs of their business. Previously, the lead sources were not customizable, limiting managers' ability to adapt the system to their specific workflows. (Or they had to call us and ask us to hard code a value for them.)

Solution

To address this, we’ve enhanced the CRM “Lead Sources” flexibility to enable full customization. This empowers sales teams to better manage and refine their “Lead Sources”, resulting in improved reporting and streamlined lead management. And more customers!

Correction: Fixed. The link now supports more URL formats.

Complaint: Accountants noted that while editing a Machine, the Accounting Transactions preview would sometimes display the wrong accounts.

Correction: Fixed an issue where, on depreciating Machines, the Accounting Transactions preview would incorrectly display the Vendor account instead of the account that was set on the Machine. This was a visual-only bug and did not have any direct effect on accounting data.

Just a reminder to all you regular readers that new features might be looking a bit thin right now while we crank on some major infrastructure changes to make Flyntlok ready for the future! Again, these changes will allow us to scale our product so we can handle many thousands of customers in our native cloud environment. Once we complete this work, we’ll return you to your regularly scheduled “Dozens of New Features” in each release!

Sub-domain Update

We mentioned previously that as part of these major infrastructure updates, we will be rolling out to all our customers a new “Sub-domain” change over the course of the coming weeks. You will notice at some point when you log-in that the URL in your browser will show “mycompany.flyntlok.com”. For instance, we have already rolled out this change internally (along with a few select customers) and our subdomain is “juneau”, so our URL looks like:

Our crack dev team has even made it so that any bookmarks you made will get redirected automatically to your subdomain. But if you experience any issues with them, please just create a ticket and we’ll get you sorted!

Point of Sale

Sell Machines on Shopify

Opportunity

Salespeople requested the ability to sell their inventory of actual Machines through Flyntlok’s Shopify integration. We initially supported this by allowing Models in Flyntlok to be linked to Shopify Product Variants, but serialized Machines could not be linked directly.

Solution

Flyntlok now allows you to link Machines to Shopify Product Variants. You can also create a new Shopify Product from Flyntlok through the Machine’s editor page.

Additionally, you can link your existing Product Variants back to Machines in Flyntlok. When setting up an unlinked Machine in Flyntlok, you will see any Shopify Product Variants with a matching SKU for quick and easy linking.

If you would like to link individual Products to Machines yourself, you can set the SKU on the Shopify Product to “MA” followed by the Machine’s internal ID. When viewing the Machine in Flyntlok, you will see any Shopify Product Variants that have a matching SKU for easy linking.

(Admittedly, this setup can be confusing. Reach out to your friendly consultant for assistance linking your Shopify catalog. That's what we're here for!)

Furthermore, automatic syncing for price and weight are supported for Machines just like Items and Models. The quantity syncing for Machines will work a little differently from Models and Items as there is only one unit being linked. If “Auto-Sync Inventory” is enabled, Flyntlok will automatically update the quantity or location in Shopify when changes are made that may be relevant to the Machine’s listing in Flyntlok. These changes include actions like changing the “Allow Sale” flag or requesting a move from one store location to another.

Machines sold through Shopify Orders will appear on the new Flyntlok Invoice as a normal Machine line where they can be fulfilled as usual.

Electronic Signatures

Opportunity

Managers requested the ability for Customers to sign documents using an electronic signature.

Solution

We have added an electronic signature feature to our signature requests. With this feature enabled, there is an additional option to “Use Electronic Signature” on the request.

Customers using the electronic signature are no longer required to manually inscribe their signature in the box. Instead, they only need to type their name.

Once the form is submitted, Flyntlok will generate a signature for the customer and add it to the contract.

To enable this feature, go to Flyntlok Settings and scroll down to “Allow Electronic Signatures” under the Company section:

ERP Work Order Tags

Opportunity

ERP Service Managers identified the need to enhance reporting capabilities for project management. Specifically, they requested a way to categorize Work Orders more effectively to streamline their data analysis and improve insights.

Solution

We introduced the ability for ERP Service Managers to add multiple tags to Work Orders. This new feature allows for more flexible categorization, making it easier to organize, filter, and generate detailed reports based on different project metrics.

Lead Updates Notifications

Opportunity

Salespeople have requested they be notified when someone makes a change on a Lead that is assigned to them..

Solution

Users now have the option to receive notifications when any Lead they are assigned to is updated. Notifications are triggered when any of the following changes occur:

Users can enable this feature through their User Settings page.

Lead “Tags” Improvement [#55119]

Opportunity

Managers have requested the ability to control who can create Lead “Tags” on the fly through the Tag selector. Managers have also expressed a need for a Tag Editor where they can manage their Tags.

Solution

A new Permission called “Lead Tags” has been added under the CRM section. This permission grants users the ability to create new Tags for Leads. Additionally, Flyntlok now has a Lead Tags editor, which is accessible from the CRM settings page. This editor includes features to create, rename, delete, and merge Lead Tags. Deleting a Tag will remove it from all associated Leads; renaming will update the Tag on Leads; and merging will combine Tags across Leads. This allows administrators to clean up redundant, irrelevant, or mistakenly created tags.

Upcoming Maintenance Location Filter [#55440]

Opportunity

Service Managers have requested the ability to sort by their upcoming maintenance by a “Location” field.

Solution

A new “Location” column has been added to the Upcoming Maintenance grid.

Tag Number Edit On Mobile Trips [#55377]

Opportunity

Fleet Managers have requested the ability to update the Work Order’s “Tag Number” on Trips through the Mobile view.

Mobile Work Order Creation

Opportunity

Managers have requested the ability to create Work Orders from Leads and Machines through the mobile view.

Solution

The mobile Lead and Machine dashboards now include the option to create a Work Order in their Actions drop-downs.

Rental

Record360 Workflow Selection [#54827]

Opportunity

Managers have requested the ability to select a Record 360 Workflow when reserving and checking-in machines on a Rental Contract.

Solution

A Workflow can now be selected for each Record360 Task. Selecting a Workflow will make it the default option when reserving that Machine or Model on future Rental Contracts.

Accounting

Canadian Depreciation Schedules

Opportunity

The Canada Revenue Agency defines specific depreciation schedules that Canadian companies must follow. Currently, Flyntlok supports two kinds of depreciation schedules – Straight Line and Percent of Rent – neither of which matches any of the CRA’s schedules. Equipment Managers in Canada have requested Flyntlok add support for these schedules.

Solution

When editing a machine, you may now select “Canadian Capital Cost Allowance” as the depreciation method. Once you select this method, you will be presented with a second selection for the specific Capital Cost Allowance class; Flyntlok currently supports the Class 8 schedule.

When selling a Machine from the Machine Dashboard or a Sales Order, its Special Sales Price was not being used. It continued to use the List Price.

Correction:

Fixed. Flyntlok now applies the Special Sales Price on both Machine Dashboard’s “Sell Machine” modal and the Point of Sale’s “Sell Machines” modal.

Samsara

Samsara Integration-(Ticket #FD-2635)

Opportunity:

Flyntlok customers managing their rental fleet via Samsara Systems (Samsara is a telematics provider that helps with safety, compliance, and efficiency) have requested the ability to display their Machine's meter history (miles and hours) tracked from their Samsara account within Flyntlok.

Solution:

We have created a programmatic link between Flyntlok and Samsara for displaying Samsara telematics data within Flyntlok. Once connected, Flyntlok will ingest Machine miles and hours tracked via Samsara and update any associated Machine’s information within Flyntlok. The miles and hours will be updated automatically on the associated Machine's Dashboard and the "Upcoming Maintenance" report.

Before you can connect your Samsara account with Flyntlok, you will need first to acknowledge and allow the sharing of Samsara data with Flyntlok and generate the API token from the Samsara application. Click HERE  to view Samsara's Integration documentation. We have added a Samsara setting to the "Integrations" page (->Flyntlok->Integrations) that will allow Administrators to connect their company’s Samsara account with Flyntlok. To connect your Samsara account with Flyntlok, select "View Samsara Settings," paste the aforementioned Samsara-provided API Token into the field, and save.

 

Once connected, Flyntlok will daily ingest Machine miles and hours from Samsara and update all Machines within Flyntlok with matching VIN Numbers. The miles and hours will be updated automatically on the associated Machine's Dashboard.

To ensure Service Schedules are referencing the most current Machine data, Flyntlok will also update the miles and hours tracked on the "Upcoming Maintenance" report. (Left Navigation Menu-> Machines-> Upcoming Maintenance.)

Rental

Rental Deposit-(Ticket #FD-2794)

Opportunity:

Rental Managers have requested the ability to accept a customer deposit from a Rental Contract that will be auto-applied to the contract's Final Invoice.

Solution:

We have added a "Collect Deposit" option to the button's drop-down menu, which will allow users to generate a new Deposit Invoice that will be applied to the contract's Final Invoice. (Note: A deposit taken on a Rental Contract must be fully processed and Z-approved by your accounting team before it can be applied to an Invoice.) Once a payment has been taken and the Deposit Invoice is processed, the Deposit will be displayed within the top banner of the Rental Contract. We have also added a "Deposit" field to the Details section of the Contract; this field will display the value and date of the deposit collected and provide a link to the Deposit Invoice.

As stated above, a customer Deposit must first be fully processed (approved on the “Z Detailed” report and then manually posted to QuickBooks Online) before it can be applied to an Invoice. To make it clear to users which deposits have been fully processed, we added a checkmark indicator to the "Deposits."

Deposits received but not yet processed will display a ,  hovering over the icon will display a "Collected-Not Posted" text box.

 

 

Deposits currently being processed will display a Yellow , and hovering over the icon will display a "Post Pending" text box.

Deposits that have been fully processed will display a Green , and hovering over the icon will display a "Posted" text box. Only Deposits displaying a Green checkmark icon will be applied to the Final Invoice of a Rental Contract.

Inventory

Add Models to Inventory Kits-(Ticket #FD-2682)

Opportunity:

Salespeople have requested the ability to add Models to their "Inventory Kits" to sell/quote Machines in a package deal with Inventory Items or Machine Attachments sold under a customized list price.

Solution:

We have updated the Item Type “Inventory Kit” to allow users to add Machine Models to their Kit configurations as sub-items.

We have added a “Search Models” option to the “Configure Kit” modal, allowing you to toggle the searching method between Items and Models. Once you have selected a Model, you can adjust the Order Quantity, and view the Model's cost and list price from the "Kit Details" section. When an Item’s “Item Type” has been set as "Kit,” Flyntlok will display the icon from the Items Edit page.

 

Once the Kit has been configured with a Model, you can add the Model Kit to a Sales Order. Model Kits will retain the same functionality as your Inventory Kits, and the parent Item will still control most actions of the Kit sub-items, such as Order Quantity and the ability to remove from the Sale’s Order.

Note: Models added to a Sales Order as Kit sub-items must be associated with an actual Machine before finalizing.

MFR Cost Added to Item Dashboard-(Ticket #FD-2792)

Opportunity:

Salespeople have requested we display an Item's most recent Price File "Manufacturer's Cost" on the Item’s Dashboard.

Solution:

We have added a new field titled "MFR Cost" to the Item Information section of the Item Dashboard, which will display the Item's most recent price file Manufacturer's Cost when available. To display the "MFR Cost", navigate to the Information Section of the Item Dashboard and select the button.

Machines

Edit Machine Miles and Hours from "Upcoming Maintenance" Report-(Ticket #FD-2794)

Opportunity:

Flyntlok users have reported instances where a Machine’s "Meter History" (Machine hours and miles) was logged incorrectly (by user error, not Flyntlok error!) and have requested the ability to edit the hours and miles of their Machines directly from the "Upcoming Maintenance" report. This will remove the need to edit each individual Machine by navigating to each Machine’s dashboard, thus streamlining the process.

Solution:

We have made the "Machine Miles" and "Machine Hours" fields of the "Upcoming Maintenance" Report editable. Users can now click into the Miles or Hours cell of the Machine they want to edit and manually enter the correct miles/hours; clicking out of the cell will auto-save the new information to the report and the Machine’s Dashboard.

Because editing a Machine's Miles or Hours could cause the “Next Due” columns to be out of sync with scheduled service and may require a refresh, we have added a “Refresh” button that will display in the top left corner of the report when changes are made.

Machine Serial Number added to QuickBooks Bill Memo Line-(Ticket #FD-2811)

Opportunity:

Flyntlok allows users to turn on or off the "Post All Machines Sales Individually" company setting, which creates a separate QuickBooks bill for each Machine contained on a Machine Purchase Order, versus posting all machines of a PO to the same QB bill. Accounting managers with the "Post Machine Sales Individually" setting enabled have requested we add the Machine Serial Number to the associated QB bill's memo line. This will make it more evident to accounting users working off a list of unpaid bills of the actual Machine related to the bill. Flyntlok users with administrator permissions can access the Flyntlok settings page by selecting the option from the Wrench Icons drop-down menu. ( ->Flyntlok->Flyntlok Settings.)

Solution:

We have added the Machine Serial Number to the QB bills memo line. Note: This feature will ONLY be applied if the "Post Machine Sales Individually" feature has been enabled from the Flyntlok Settings page. 

 

CRM

Add "Created By" category to "All Leads" Report-(Ticket #47456 )

Opportunity:

Sales Managers have requested we add a "Created By" Category to the "All Leads" report to track and display the user who created the CRM Lead. This will allow users to filter for themselves and see a list of all CRM Leads they have personally created.

Solution:

We have added a "Created By" column to the "All Leads" report, which will display the Flyntlok user who created the CRM Lead.

 

Shopify

Shopify Weight-(Ticket #47359)

Opportunity:

Sales Managers using our integration with Shopify E-Commerce have requested we edit the field titled "Shipping Dimensional Weight" and change the title to "Shopify Weight."

Solution:

We have updated the "Shipping Dimensional Weight" field on the Item Dashboard's "Edit" page, and it will now be titled "Shopify Weight". (I think this change took us a whopping 15 seconds to make. But we aim to please!)


Issues Resolved This Sprint

Unsaved Changes Error on Work Order-(Ticket #FD-2821, 47399)

Complaint:

Service Technicians had reported an issue where they could not invoice Work Orders with associated fees. In this scenario, the user would receive an error message when attempting to invoice, stating the WO failed to be invoiced due to unsaved changes. Users were then unable to edit the WO information, causing the WO to be stuck.

Complaint:

Fixed. We have corrected a data issue causing Item Fees to not be recognized.

Can't Delete Quote With No Associated Customer-(Ticket #FD-2766, 47063)

Complaint:

Sales people had reported instances where they were unable to delete Quotes that had been created without an associated Customer. In this scenario, they were unable to access the “Actions Tab” to delete or modify the Quote if there was no customer associated.

Cause/Correction:

We have disabled the Quote option from Point Of Sale when it doesn’t have a Customer associated with it and Flyntlok will now prompt users to add a customer when they hover over that button.

Customer Balance Error when Trying to Close Rental Contract-(Ticket #FD-2822)

Complaint:

Flyntlok users had reported an issue where they were unable to close Rental Contacts successfully. When attempting to close the contract, they would receive an error message stating, “Deposits cannot exceed customer’s deposit balance of $0.00,” and the contract would remain in a “Checked In” status.

Cause/Correction:

Fixed. We have resolved a small issue that was caused by the development of our new Rental Deposit Feature. Sorry!

CRM

Microsoft Office 365 Email Integration-(Ticket #FD-2378)

Opportunity:                     

Flyntlok Administrators have requested the ability to send emails from Flyntlok using their company email, rather than having emails come from a Flyntlok address. Many recipients were confused when they got an email from Flyntlok rather than from their dealer.

Solution:

We have added a "Microsoft" setting to the "Integrations" page that will allow Administrators to connect a company’s Microsoft Office 365 account within Flyntlok. Once connected, your emails will come from that that address rather than from a Flyntlok address.

This feature is available when emailing:

The Office 365 email address will not be included in emails sent from the “Quick Hit” link on the Lead Dashboard. (This feature is limited to one Microsoft email account per tenant.)

Sales Quote Updated to Sales Order on Lead Dashboard-(Ticket #FD-2420)

Opportunity:                     

From the "Actions" drop-down menu of the "Lead Dashboard" page  users are able to create new linked transactions, such as Sales Quotes, Rental Contacts, and Work Orders. Sales people have requested the "Sales Quote" option be replaced with a "Sales Order" because our workflow does not allow for orders to go straight to quote status.

Solution:

We have replaced the "Create Sales Quote" option with "Create Sales Order" on the buttons drop-down menu.

Purchasing

Pending Stock Allocation Strategy-(Ticket #FD-2119, 45315)

Opportunity:           

Purchasing Managers have requested the ability to choose whether to include “Pending Stock” quantity (the order quantity of Items on the “To Be Ordered” board) with the "Flyntlok Recommended Quantity" when creating new Purchase Orders from the Draft PO page. They also would like the "Pending Stock" quantity from "To Be Ordered" and Stock from "Recommended Quantity" to be displayed on separate lines on the Purchase Order.

Solution:

We have added a new setting to the “Flyntlok Settings” page, allowing Administrators to apply alternate allocation strategies to the “Draft Purchase Order” page. Administrators will be able to choose from three options; “Do Not Allocate Pending Stock,” “Allocate All Pending Stock From Recommended QTY,” and “Add Pending QTY to Recommended QTY.”

This is the original behavior and will serve as the default Allocation Strategy. Flyntlok will only use the Recommended QTY.

Quantity of "Pending Stock" on the "To Be Ordered" board is fulfilled from the Flyntlok Recommended Quantity. Example-"To Be Ordered" shows a quantity of 3, "Flyntlok Recommended Quantity" is 5. You still only order 5, and the 3 others are pulled off of the "To-Be-Ordered" board.

Example-"To Be Ordered" shows a quantity of 3, Flyntlok "Recommended Quantity" is 5; Quantity of 8 is ordered.

"Scan Mode" Added to Item Receiving Voucher -(Ticket #FD-2458)

Opportunity:

Purchasing managers have requested the ability to scan Item via a barcode scanner when receiving Items on a Receiving Voucher.             

Solution:

We have added a "Scan Mode" to the "Item Receiving Voucher." When "Scan Mode" is activated Scanning items via a UPC, EAN, or Item Number will open the Voucher’s Receiving modal for that item. Flyntlok will display a "Duplicate Items Found" error message if an item is scanned more than once. Note- During scan mode other inputs are disabled except for the Receiving modal window.

"Scan Mode" Added to Machine Receiving Voucher for Serial Number Scanning-(Ticket #FD-2457)

Opportunity:

Purchasing Managers have requested the ability to use a barcode scanner to enter Machine Serial Numbers when receiving Machines on a Machine Purchase Order.

Solution:

We have added a "Scan Mode" to the Machine Receiving Voucher, which will allow users to quickly scan Machine Serial Numbers via a barcode scanner based on the Model. "Scan Mode" can be activated by selecting the icon.

 

"Split" Machine Purchase Order Message added to "Notes" Section-(Ticket #FD-2393)

Opportunity:

Machine Purchase Orders in a "Partially Received" status are eligible to be "spilt", which takes the received Machine(s) and moves them to a new PO. Flyntlok Purchasing Managers have requested we add a message to the original Purchase Order to indicate a "Split PO" action has been taken.

Solution:

We have added an informational message to the "Notes" section of the Machine Purchase Order to indicate the PO has been split. Flyntlok will display a "Split To" message on the original Purchase Order and a "Split From" message on the New PO. This message will provide a link to the referenced order.

       

Service

Added Filters to "Upcoming Maintenance" Report-(Ticket #FD-2489)

Opportunity:                     

We recently added the "Upcoming Maintenance" report to the "Machines" Tab of the Left-Hand Navigation Menu. This report displays a list of upcoming scheduled Machine maintenance and provides information on the Machine and upcoming service. Service managers have requested we add additional categories to the report to track the Customer Name and Customer Unit Number.

Solution:

We have added columns to display "Customer Unit Number" and "Machine Owner", when available, to the "Upcoming Maintenance" report.

Mobile View

Show Work Orders Assigned via the Service Calendar in "My Work"-(Ticket #FD-1768)

Opportunity:                     

The “My Work” tab of the Mobile View displays Work Orders assigned to individual Technicians from the Work Order. Service Technicians have requested we also include the Work Orders assigned via the Service Calendar to the “My Work” tab.

Solution:

We have incorporated Work Orders assigned to Service Technicians via the Service Calendar into the "My Work" tab of the Mobile View. The "My Work" tab will now be broken into two sections: "My Assigned Work" will display Work orders assigned to techs directly from the WO, and "My Scheduled Work" which will display WO assigned from the Service Calendar.

Point of sale

"Copy" Option Added to Work Order Final Invoices-(Ticket #FD-2433, 45817)

Opportunity: 

Flyntlok currently provides users the option to create copies of Sales Orders by clicking the "Copy" button from the "Payment" tab. Salespeople have requested the ability to also copy invoices associated with Service Work Orders.

Solution:

We have added the "Copy" option to "Final" invoices generated for a Work Order.


Issues Resolved This Sprint

New Item Accounting Information-(Ticket #FD-2397)

Complaint:

Flyntlok users had experienced an issue where accounting information was prefilled on the "Item Creation" page before selecting the item's "Vendor".

Cause/Correction:

Fixed. The Accounting section of the Item Creation page will remain blank until a Vendor is selected. Flyntlok will then display the accounting information for the selected Vendor. If no accounting information is saved for the selected Vendor, Flyntlok will fall back to the "Vendor Default” settings set on the "Flyntlok Settings" page.

Items labels are not the same-(Ticket #FD- 2437)

Complaint:

Purchasing Managers generating Labels from the Item Purchase Order had noticed a discrepancy between Item Labels printed in bulk and Labels printed for an individual Item, where bulk labels were generated with a bar code and individual labels with a QR code.

Cause/Correction:

Fixed. All Items Labels will have the same display, whether printed individually or in bulk, from the Purchase Order or from the items Dashboard.

Work Order Forms not Saving Edits on Mobile View-(Ticket #FD-2450)

Complaint:

Service Technicians had reported an issue where Work Order forms were not saving information when edits were made from the Mobile View. In this scenario, the Technicians could add and edit Work Order Forms associated with Service Jobs, but when attempting to save (by clicking the  icon in the top right corner of the Form), the edits are not actually saved. (OK, that seems like an obvious thing. How did we miss that? Yeah, well pobody’s nerfect.)

Cause/Correction:

Fixed. Edits made to Work Order "Forms" associated to Service Jobs will persist when the Save button is selected.
