Office365 Emails on Locations and Users

Opportunity

Flyntlok users previously faced limitations with our Microsoft email integration, as it only supported configuration at a company level and for a single email account. This made managing communication with customers challenging, especially when replies and conversation threads needed to be organized among various employees and store locations. Users required the ability to connect multiple Microsoft email accounts at both user and store location levels to improve efficiency and communication management.

Solution

Flyntlok now supports the connection of multiple Microsoft email accounts at both user and store location levels, in addition to the corporate account. This enhancement allows for more flexible and efficient email communication directly from Flyntlok.

Key Features

Integration Setup:

To connect Microsoft email accounts to store locations follow this steps:

  1. Access the “Integrations” Page
    1. Click on the wrench icon on the Navbar
    2. Navigate to “Flyntlok” section and click on “Integrations“ link.
    3. Locate the “Microsoft” card and click on the “View Microsoft Settings” link.
  2. Choose the location you want to connect to your Microsoft email account
  3. Click the “Sign in with Microsoft” button and complete the authentication process as guided by Microsoft.

To connect a Microsoft email account to a user’s profile follow this steps:

  1. Access the “Profile Settings” Page
    1. Click on your name on the Navbar
    2. Navigate to “Preferences”
    3. Locate the “Profile” card and click on the “View Your Profile” link.
  2. If the "Allow users to connect Microsoft Accounts" setting is enabled, users are able to navigate to the “Microsoft Email Account” setting.
  3. Click the “Sign in with Microsoft” button and complete the authentication process as guided by Microsoft.

Daily Task Due Reminders

Opportunity: It can be oh-so-hard to remember all the tasks that are due and need immediate attention! There is no way currently to receive reminders about tasks that are due soon without going to the tasks grid and checking it yourself. (Sometimes you need to create a task to remind yourself to review your tasks.) There is a need to receive reminders about due tasks so that important work is not missed.

Solution: We have added a new notification for “Due Task Reminders” which can be enabled by navigating to Preferences -> Notifications -> CRM

If this notification is turned on, Flyntlok will send a report about all the tasks assigned to you that are due within the next week at the end of each day. This will help users to stay up to date on their progress and avoid missing out on important tasks. Based on the selected medium (Email, SMS or notification) the notification may look slightly different.

Click to Call or Email on Customer Dashboard [#53648]

Opportunity

Users managing contacts on the Customer Dashboard have requested the ability to click to call/email their contacts listed in the Customer Information panel.

Solution

The Customer Dashboard has been updated to have links for calling and emailing in the Contact and Primary Contact sections. By clicking on a listed phone number or email address, a phone call or email can be initiated right from the Customer Dashboard.

Saved Cards on Customer Dashboard [#53851]

Opportunity

Users managing customers’ saved credit cards have requested an indicator on the Customer Dashboard that displays if a customer has credit cards on file.

Solution

The summary section of the Customer Dashboard has been updated to display the status of a customer’s saved credit cards. The icon will indicate if all credit cards are valid, if any card has expired, or if a customer has no credit cards.

Service

Parts Used On Work Orders

Opportunity

The current implementation of the “Parts Used” modal on the desktop-version of Flyntlok supports marking parts that have already been requested as “Used”. This multiple-step process requires technicians to request parts first and then navigate back to log the quantities used, which can be cumbersome. There is a need to streamline this process to improve efficiency and reduce the number of steps required.

Solution

The “Parts Used” modal on the desktop-version of Flyntlok has been updated to allow technicians to add and mark additional used parts directly within the same step. This feature simplifies the parts management process, reducing the number of clicks and streamlining the workflow for technicians.(N.B. This feature already existed in the mobile version of Flyntlok)

1. Click “Edit Parts” in the “Parts” section of the job page.

2. Click “Add Parts” in the modal to open the parts searcher

3. Search for a part and select it.

4. Set the used quantity for the selected part

6. Click "Save" to finalize.

Currently Viewing Work Order

Opportunity: Technicians often face workflow conflicts when multiple users inadvertently work on the same Work Order simultaneously. This can lead to inefficiencies and errors. By providing real-time visibility of users currently viewing a Work Order, Flyntlok can significantly improve coordination and prevent such conflicts.

Solution: The Activity panel on the Work Order Dashboard has been updated to display the users who are currently viewing the same Work Order. Flyntlok does not prevent two people from editing the same Work Order, but the system will alert you to other simultaneously viewing users.

The Active Viewer list applies to users viewing the Work Order across both Mobile and Desktop platforms.

Work Order Status on Job Service Scheduler [#53355]

Opportunity: Service managers have requested the ability to view a Work Order’s status on the Job Service Scheduler. This would enable Service Managers to better organize their jobs table, streamlining the job scheduling process.

Solution: We added a new column for the Work Order status on the Job Service Scheduler. The column can be sorted and filtered as well.

Forcing Machine Down on Work Order Creation [#52227]

Opportunity: Service Managers have requested the ability to force a machine down on Work Order creation. This way the machine’s status will be set to ‘Down’, regardless if work has started on it.

Solution: We have added this as a setting in Flyntlok Settings. This setting can be found under the Service section, titled “Force Down Machine on Work Order Creation''. With this option enabled, checking ‘Force Down’ on the New Work Order page will update the machine's status to ‘Down’ when the Work Order is created.

Signee Information on Work Order Estimates [#53231]

Opportunity

Service Managers would like to see who signed a Work Order Estimate and when they signed it. Previously, a green icon with a message ‘Customer Review Complete’ would be the only indicator that an estimate was signed.

Solution

We have updated the displayed text for the green icon to show when an estimate was approved and who signed off on it.

Cause and Correction on Work Order Job Templates [#53445]

Opportunity: Managers requested the ability to save Cause and Correction to Work Order Job Templates. One example for needing this is to make these Job fields populate exactly as needed for Warranty work, eliminating the variability of a technician’s entries.

Solution: Users are now able to add and edit Cause and Correction on the Work Order Job Templates page. These fields will populate on the Job when added via Work Order creation or Work Order Dashboard.

Primary Contact on Work Order Printouts [#53529]

Opportunity: Service Managers would like to see a customer’s Primary Contact on their Work Order print out, regardless of the contact that is set on the Work Order.

Solution: We have updated the Work Order print out to display the customer’s Primary Contact in the ‘Bill To’ section. If the Primary Contact is the same contact that was selected on the Work Order, the print out will appear the same as before.

Sales

OPEHub Integration

Opportunity: Salespeople at Toro dealers have requested the ability to access real-time inventory data from Flyntlok within OPEHub. (OPEHub is a third party quoting and reference sales tool used by Toro dealers. If you are a Toro dealer and are interested in OPEHub, please contact them at drew@opehub.com.)

Solution: We have implemented an integration for OPEHub that allows users to view the inventory details of specific models from Flyntlok.

Integration Setup

To connect OPEHub to Flyntlok follow this steps:

1. Access the Integrations Page within Flyntlok.

  1. Click on the wrench icon on the Navbar
  2. Navigate to “Flyntlok” section and click on “Integrations“ link.
  3. Locate the “OPEHub” card and click on the “View OPEHub Settings” link.

2. Choose the location you want to connect to OPEHub.
3. Generate a token by clicking the "Request New Token" button. This will populate the Access Token field.
4. Click on the “Copy Access Token” button to copy the Access Token.
5. Link your Vendors to OPEHub supported Manufacturers

6. Connect to OPEHub

  1. Log in to your OPEHub Account.
  2. Go to Inventory Settings and paste the access token from step 4 to the “Flyntlok Key” field.
  3. Click on the “Save key” button.

Machines

Set Classes on New Machine Creation

Opportunity:

Service Technicians and Managers have requested the ability to assign classes to a Model when creating a new Machine with a new Model. Doing this currently requires that the user first create the Machine, then go to the Machine Dashboard, then click on the Model Editor, and then finally set the Primary and Secondary Class options there. Being able to do this at the Machine creation step would save the user time (and clicks!) for shops who require classification of Models.

Solution:

We have added Model Primary Class and Model Secondary Class fields to Machine creation on these pages:

A new "Model Details" section will show after typing in a new Model name and choosing to create it. The selected Class options will be applied to the Model immediately when created.

Redirect on Model Creation [#53540]

Opportunity: Users creating models would like to be redirected to their new model on creation from the Add a New Model page.

Solution: We have updated the Add New Model page to redirect to the newly created model. This should streamline model editing after creation for things like Rental or Maintenance Schedules which cannot be set until a model is created.

Model Horsepower on Machine Dashboard [#54043]

Opportunity: Users managing machines would like to see the model’s horsepower on the Machine Dashboard. This information can be useful to salespeople who want to get more machine information at a glance.

Solution: The Machine Dashboard has been updated to display the horsepower of a machine’s model. This value must be edited at the model level, but will display on any machines of the model.

Moves

Upload Pictures on Moves

Opportunity: Managers requested the ability for drivers to upload pictures for pickups and drop-offs. This is intended to facilitate the documentation of machine conditions and improve transparency and accountability during the moving process.

Solution:

Mobile "My Trips" View: Users can now upload pictures directly from their mobile devices via the "My Trips" section. Uploaded images will be displayed in a gallery-like format, providing a visual record of machine conditions at pickup and drop-off. To upload a picture, click on the "Upload" button in the Images section:

Desktop Moves Dashboard: Users can manage the files when viewing Moves on desktop. Additionally, other accepted file types (such as PDF) can be attached.

Reservations

Allow Editing "Is Open Ended" Field on Reservations [#53731]

Opportunity: Users have requested the ability to change a Reservation’s “Is Open Ended” field after the reservation has been created.

Solution: Implemented an editor for “Is Open Ended” on the machine Reservation dashboard page.

Accounting

Terms Due Date for QuickBooks Invoices [#52887]

Opportunity: Salespeople have requested the ability to adjust the Due Date of an Invoice from Flyntlok and have that feed to QuickBooks Online.

Solution: We’ve added a new field called “Terms Due Date” to the Invoice. When posted as an Invoice to QuickBooks Online, any date set here will become the QuickBooks Online Inovice’s Due Date. You can find this new field on the Point of Sale by opening the Details panel and clicking the Settings button in the top right corner.

Resolved Issues

Complaint: Service managers noticed their Upcoming Maintenance page was blank and would not load their Maintenance Schedules.

Correction: Fixed.

#53344

Complaint: Service Managers noticed labor lines on the Work Order that were not associated with jobs would intermittently disappear on non-segmented Work Orders.

Correction: Fixed.

#53149

Complaint: Users creating items with alternates/supersessions noticed that the alternates/supersessions would not be saved once the item was created. Because of this, they would then have to edit the item after creation to update the alternates/supersessions.

Correction: Fixed. Alternates and supersessions are now properly saved on item creation.

Complaint: Service Managers noticed taxes were being shown on Work Orders for internal customers. These customers should have been recognized as tax exempt on the Work Order, like they are on Sales Orders.

Correction: Fixed. Internal customers on Work Orders are now properly recognized as tax exempt, and the Work Order will correctly display no taxes.

Complaint: Receivers noticed serial numbers and received dates for machines on Machine Purchase Orders would disappear if an associated Fee-Only Voucher was canceled. This logic was intended to reset machine data when a Machine Receiving Voucher got canceled.

Correction: Fixed. Machine data will no longer be reset if a Fee-Only Voucher is canceled.

Complaint: Service Managers noted that they were not able to access videos that Technicians had uploaded to Work Orders.

Correction: An issue was identified where many large files on Work Orders were not downloadable by users. This issue has been resolved.

Complaint: Service Managers noticed that when Sales Orders were linked to Work Orders via the “Link SO as Internal Parts WO” widget, they were not showing on the linked Work Order’s dashboard.

Correction: Fixed, Sales Orders linked to Work Orders via the widget will now be shown when viewing the Work Order.

Complaint: Salespeople reported that initiating a Text-2-Pay payment would not move the invoice forward from “Draft” status.

Correction: Fixed.

Complaint: Users noted that when clicking on the email link on a Customer’s dashboard, it would only ever try to send emails to the customer’s default contact email rather than the selected recipient.

Correction: Fixed, all email links on a Customer’s dashboard will now try to send a new email to the address displayed in the link.

Point of Sale

Multiple Machine Allocation

Opportunity

Sales Managers have expressed the need to improve the handling of high-volume quantity of Machines→Models association at the Point of Sale.

Solution

An option has been made available for all Flyntlok users to perform the association of multiple machines with their respective model lines in a single action. This should improve the sales process, reducing the time and effort required for Machine to Model associations.

To do a bulk Machines→Models association click on the  “Associate” button on one of the Model lines to open a modal window for Machine association.

Then, once the Associate window is open, you have the option of either clicking on the “Single” or “Multiple” tab. If you click on the "Multiple" tab, you can then select the Machines that you want to associate to the specific Model. This tab will also include the Models Total Quantity as well as the number of Models that have been associated. You can also set the Salesperson. Click the “Associate Machines” button and all selected Machines will associate.

Additional Fields on Machine Trade-Ins

Opportunity: Salespeople have requested the ability edit additional fields when creating a machine from a trade-in, including Description, Hours, and Mileage.
Solution: The machine trade-in form has been updated to include the Description, Hours, and Mileage fields. With these, salespeople can input these details directly from the Sales Order. This will save them time as it eliminates the need to navigate to the machine’s dashboard then edit the machine.

Display or Hide Line-Level Discounts on Thermal Receipt

Opportunity: Salespeople have requested that the Sales Order “Thermal Receipt” have the option to display line-level discounts. This option is already available on the full-page-print version of the Sales Order.
Solution: The Sales Order “Thermal Receipt” layout has been updated to include line-level discounts (percentage and dollar discount from list). The existing flag “Show per Item Discount on Sales Order” in Flyntlok Settings will now apply to thermal receipts as well.

Machines

Volvo CareTrack Telematics

Opportunity

Volvo dealerships have requested the ability to track telematics data on their machines in order to use it in sales, rental, and service workflows. Volvo will send out positioning and utilization data about every Volvo machine a dealership owns on a daily basis at a time chosen by the dealership.

Solution

Flyntlok will ingest Volvo’s daily telematics updates for a dealership that is interested in receiving this data. The interface maps the telematics data using a machine’s VIN as a reference. The dealership will need to ensure that all Volvo VIN’s are accurate and up-to-date in Flyntlok.

The updated latitude, longitude, and machine hours data will be visible on the machine dashboard as illustrated below.

Increase Precision of Machine Hours

Opportunity: Fleet Managers have requested the ability to track machine hours down to the decimal, providing more accuracy when logging a machine’s utilization.
Solution: We have updated machines to support a decimal place when inputting hours. This change brings Machine Hours in line with Machine Miles, with both now able to capture a decimal place.

Machine Dashboard Warning Note

Opportunity: Flyntlok users have requested the ability to display a warning on the Machine Dashboard, similar to the warnings on Customer Dashboard.
Solution: The Machine Dashboard has been updated to display Warning Notes, which can be added by editing the machine. After adding the warning note, any future visit to that machine’s dashboard will show a popup at the top of the screen presenting the entered note.

Service

Work Order Estimates via SMS

Opportunity

Salespeople and managers have requested the ability to send Work Order Estimate Approval links via SMS, in addition to the already existing email functionality. This would make the estimate approval process more accessible for the customers of our dealers.

Solution

A new “SMS Request” option has been made under the Estimate’s “Actions” button in the Work Order Dashboard. The original “Send Request” button has been re-named “Email Request” to differentiate it from this option.

When users select the SMS Request option, they can search for contacts tied to the Work Order’s customer by name or phone number, and select contacts to send the estimate approval link to. Customers will be sent a text message from Flyntlok with a link that leads to the approval page.

Once a request has been sent via either SMS or email, a green paper plane icon will appear next to the estimate date to indicate that it has been sent to the customer.

Files, Job Templates, and Notifications on Service Requests

Opportunity

Service Managers have asked for the ability to attach files and jobs at the point of creating a Service Request. Additionally, there was a request to keep users informed about the status of Service Requests, including their creation, approval, and rejection.

Solution

Service Requests now include options to add predefined job templates and display any mandatory jobs, if applicable. These templates will be applied to the Work Order once the Service Request receives approval.

We have introduced a File Upload Capability, allowing users to attach files directly to their Service Requests. The attached files will automatically be associated with the corresponding Work Order post-approval.

Enhanced notifications will ensure that Service Managers receive alerts when a Service Request is initiated. Automated notifications will also update requesters about the approval or rejection of their requests.

Show Work Order Location on Job Service Scheduler

Opportunity: Service Managers have requested the ability to see a Work Order’s location in the Jobs table when scheduling jobs from the Jobs Service Scheduler.
Solution: A new column has been added to the Jobs table displaying the Work Order’s location.

Use Work Order Job Templates While Creating Jobs on Mobile

Opportunity: Service Managers requested the ability to use Work Order Job templates from the Work Order Mobile page.
Solution: When adding a job to a Work Order on the mobile view, there is a new field where a job template can be selected. Choosing a job template from here will work just like the desktop version of a Work Order and appropriate fields will be filled based on the selected template.

View Configured Attachments from Work Order

Opportunity: Service Techs and Service Managers have requested the ability to view “Configured Attachments” on machines when viewing the machine on a Work Order.
Solution: Work Order Dashboard has been updated to show a list of attached machines when selected.

New Event Rules for Work Order Automations

Opportunity: Service and Parts Managers have requested more flexibility when setting up automated status-change rules on Work Orders. For example, while Flyntlok currently has a feature in place that can update a Work Order status when an Estimate has been signed, it would be useful if the Work Order could be placed into a specific status based on whether that signed estimate was fully approved or rejected.
Solution: Several new "Event Rules" have been added to our status-automation feature for when these events occur in Flyntlok:

Improve Inactive Parts on Work Order Job Templates

Opportunity: Service Managers have expressed confusion about the ability to add “Inactive Parts” to Work Order Job Templates.
Solution: We have updated the Work Order Job Templates editor page. Inactive parts will be excluded when editing the parts list. Additionally, any parts that were made inactive that already exist on job templates will now show an indicator that the part is currently inactive.

CRM

Show Internal Notes & Expected Revenue on All Leads View

Opportunity: Salespeople have requested the ability to see “Internal Notes” as well as the “Expected Revenue” for a Lead from the “All Leads” view. Previously, these fields could only be viewed after clicking into a Lead.
Solution: The “All Leads” view has been updated to display both Expected Revenue and Internal Notes from the lead. With these columns, salespeople can now enhance their searching, sorting, and filtering. For example, these can be used to search for specific notes or to sort by the most valuable leads. Additionally, salespeople will see more information at a glance when reviewing all their leads.

Link to Machines & Models from All Leads View

Opportunity: Salespeople have requested links to Machines and Models from the Leads table.
Solution: Machines/Models that are displayed on the Leads table now have links back to the actual Machine or Model.

Other Changes

More Information When Configuring a Kit

Opportunity: Inventory Managers have requested that Flyntlok display more details on the line items within the kit configuration.
Solution: The kit configuration has been updated to display the cost and list for each item, and now has links to the item’s details (whether Items or Models).

Set Location on New Purchase Plans

Opportunity: Purchasers have requested the ability to specify a location for their Purchase Plans when creating a purchase from the Item Dashboard.
Solution: We have updated the Order Item modal to support a location selection. Purchasers can now choose a location for their Purchase Plan at the time of creation.

Restrict Who Can Submit Machine Purchase Orders

Opportunity: Managers have requested the ability to limit which users can submit Machine Purchase Orders for approval.
Solution: A new permission has been added to allow/restrict the submission of Machine Purchase Orders. Administrators can configure this by navigating to the Access Control page, the new permission is named “Submit for Approval” under the Machine Purchase Order section.

Restrict Who Can Edit a Customer's Stored Cards

Opportunity: Managers have requested the ability to limit which users can manage/use stored credit cards on a customer.
Solution: Two new permissions have been added around saved credit cards. The first permission allows viewing/adding saved credit cards on a customer via the Customer Dashboard. The second permission allows the actual use of saved credit cards at the point of sale. Administrators can configure these permissions by navigating to the Access Control page, the new permissions are named “Manage Saved Credit Cards” and “Use Saved Credit Cards” under the Customer section.

Allow Editing and Deleting Customer Notes

Opportunity: Flyntlok users have requested the ability to edit or delete Customer Notes that were added to a customer on the Customer Dashboard.
Solution: The Customer Dashboard has been updated with an edit and delete function for notes added. Edits and deletions are visible in the customer's logs.

Complaint: Salespeople noticed the indicator that a part had been superseded was not shown when they searched for some superseded parts.
Cause/Correction: We’ve updated the supersession indicator in the Parts Searcher to properly display when a part is superseded.

Complaint: Service Managers noticed that when processing a Work Order Job, rejected Parts Request quotes would still attempt to pull parts from inventory.
Cause/Correction: Inventory will not be pulled for Rejected Parts Request quotes.

Complaint: Our customers noticed the status column on the Quick Search page was always empty for machines that were on rent.
Cause/Correction: We’ve updated the Quick Search page to properly display the “Rented” status along with a link to the Rental Contract.

Complaint: Receivers reported that customers were being notified that their special order had been received despite not being warned ahead of time that a notification was going to go out.
Cause/Correction: We have updated the parts receiving workflow to properly display the existing Customer Notification indicator.

Complaint: Salespeople noticed that the automated “Opt Out” text message would be sent repeatedly while messaging a customer via SMS.
Cause/Correction: We have updated the SMS service to properly identify if a customer had been sent the automated “Opt Out” text message before. If a customer has received this text, they should no longer receive the automated messages.

Tasks - (Ticket #FD-2879)

Opportunity:

Salespeople and managers need a way to create/edit tasks and assign them to themselves or others as a way of keeping track of required steps for their sales process. This will make it easier to keep track of projects that may require multiple steps towards completion.

Solution:

We have added a new module! A new page to create and maintain Tasks has been added under the CRM tab on the left-hand navigator bar. From there, users can open a Task, assign Tasks to specific salespeople, and set the Task’s status, priority, and due date. The table reflects the days since the Task has been created as well as the days until it is marked due. One can also choose to add columns to view the Task’s description, date created, date completed, or whom it was created by. Editable columns can be edited in-line simply by clicking on the column in the grid and changing the value. It will automatically save when you leave the field. All details on a Task can be edited by clicking on the “Name” hyperlink, which will open the Task into a modal window.

This is just the very initial release of our Tasks module. We have great hopes and dreams for its future and those will be incrementally rolled out. Such enhancements will include:

Job Level Statuses -(Ticket #FD-2893)

Opportunity:

Service Managers have requested the ability to set the status of individual Jobs on a Work Order. Having this ability will allow them to more easily schedule and prioritize Jobs across their team and will also make it easier to keep track of outstanding Job-related tasks like parts ordering and warranty claim submission.

Solution:

An editable status has been added to the Job header on the Work Order dashboard. This status also appears on the left-hand side of the screen in each item in the list of jobs. Currently, the list of job statuses contains the same statuses available on the Work Order.

Work Order Job Scheduling - (Ticket #FD-2894)

Opportunity:

Service Managers have requested the ability to schedule individual Jobs from a Work Order, not just the Work Order itself. This will make it easier to schedule individual Jobs on a Work Order to different technicians and at different times.

Solution:

A new page has been added under the Service tab to schedule Work Order Jobs. From there, Service Managers can schedule specific Jobs to technicians, providing more flexibility than the Work Order Scheduler. You can simply drag the Job to the time slot for the specific tech. Additionally, both the scheduled technician(s) as well as the scheduled time(s) will be reflected on the Work Order Job. Furthermore, one job can be assigned to multiple technicians. When this is done, the scheduled time on the Work Order Job will start at the earliest scheduled time, and end at the latest.

If a Work Order was created with techs assigned on that level, but not to any Jobs, then the “Assigned Technicians” column will be populated with the aforementioned Techs, but the “Scheduled” column will be empty because no techs or schedules were assigned on the Job level.

Estimate Sales Tax on Work Orders - (Ticket #FD-2884)

Opportunity:

Service Managers have requested the ability to view an estimate of taxes on Work Orders. With this feature, Service Managers can quote work more accurately which will allow them to better inform their customers.

There is a new section on Work Orders and Estimates for taxes, and they are broken down similar to fees. You will now be able to view this tax estimation from:

Update Work Order Banners to Handle Multiple Final Invoices-(Ticket #IHK-49832)

Opportunity:

Flyntlok adds a banner to the Work Order dashboard when a "Final Invoice" is generated that contains a link to the Invoice. Service managers have requested we add additional banners if the Work Order is associated with more than one Final Invoice.

Solution:

We have updated the Work Orders banners to handle multiple Final Invoices, and Flyntlok will now display a banner for each individual Final invoice generated from the WO. The banner will display the Invoice "Type" and "ID number". Selecting the link will open the associated Final Invoice.

Point of Sale

Paying for Outstanding Sales Orders-(Ticket #IHK 1824)

Opportunity:

The Multi-pay Invoice system, designed with user-friendliness in mind, allows you to collect one payment for multiple outstanding Sales Orders for a given customer. Flyntlok Administrators have reported instances where their users will generate a multi-pay invoice and then forget they have done so. If the same outstanding order(s) are added to another order, the order cannot be processed into Delivered status.

Solution:

We have added an  icon to the “Multi-pay” pop-up to indicate which outstanding Sales Orders are currently on a multi-pay invoice. Hovering over the icon will display a message containing the Invoice ID Number. This setting is informational only and will not restrict you from adding a marked outstanding SO to an alternate Invoice; Flyntlok will transfer those invoices to a newly generated multi-pay invoice.

Add Printed name Field to Sales Order PDF-(Ticket #IHK-49783)

Opportunity:

Sales Managers have requested an enhancement for Sales Order reports to include not just a signature field but also a designated space for the customer to print their name.

Solution:

We have updated the Sales Order report template, and now, alongside the signature field, there is a clearly marked space for the customer to print their name.

Hide Part Numbers on Report Default -(Ticket #IHK-49066)

Opportunity:

Last release we added an option to hide part numbers on the Sales Order report on the "Details" tab of the Sales Order page.  Service Managers have now requested we allow users to make the "Hide part numbers on report" box selected by default.

Solution:

We have added a new setting to the "Flyntlok Settings" page  which will allow administrators to set the "Hide part numbers on report" by default. Administrators can access the Flyntlok Settings page by selecting the option from the  icons drop-down menu. (Wrench->Flyntlok->Flyntlok Settings)

Searching

Message added to Purchase Order Search Results  -(Ticket #IHK-49768)

Opportunity:

Purchasing Managers have requested we allow "Purchasing Messages" to be searchable when using the prefix (O, O?) from the Flyntlok homepage searcher.

Solution:

We have updated the search parameters of the pre-fix (O, O?) to include "purchasing messages." Flyntlok will now include "Purchasing Message" containing the referenced information  in the search results list.


Issues Resolved This Sprint

Add Comment on QOH Changes -(Ticket #50167)

Complaint:

Salespeople had reported instances where an item's QOH was manually changed, but there is no description of why, causing confusion when managing Inventory.

Cause/Correction:

We have added an optional comments field to the Items "Change QOH" form, where users can add a custom note when changing QOH. Once posted you can view these comments in that item’s transaction history.

Invoice Number-(Ticket #50075)

Complaint:

Purchasing Managers had reported an issue where machines on a Machine Purchase Order were not updated with the vendor invoice number after the Vendor Invoice Number was added to the Receiving Voucher.

Cause/Correction:

Fixed. When a Vendor Invoice Number is added to a Machine Receiving Voucher, Flyntlok will display a pop-up that allows the user to choose whether or not they want to apply the voucher-level vendor invoice number to all Machines of the Voucher. 

Machine Dashboard Pricing -(Ticket #FD-29081)

Complaint:

Due to its placement on the page, key financial information about a Machine can be difficult to see, and we have received multiple requests (including from our highly esteemed CEO) to make a Machine's pricing information more visible on the Machine Dashboard page.

Cause/Correction:

Some of the important machine information has been moved to the top of the Machine Info section on the Machine Dashboard. These fields include the list price, cost, margin, and value of the machine; you can view each of these by clicking the arrow next to the list price.

Shopify

Shopify Integration-(Ticket #FD-538)

Opportunity:  

Flyntlok users have requested the ability to manage their Shopify storefront via Flyntlok. They have expressed frustration with attempting to manage orders and inventory both on the Shopify storefront and in Flyntlok. Operating two separate systems exposed businesses to incorrect data entry and needless overhead. We have received multiple requests to provide a solution that bridges this gap.

Solution:

Flyntlok is now ready to reveal our new integration with Shopify! You will now be able to pull orders from Shopify into Flyntlok automatically. Flyntlok will also synch relevant information in your business system with Shopify, including inventory quantity, shipping/tracking labels, shipping weights for shipping cost calculations, and more. Please get in touch with your Flyntlok consultant if you are interested in this integration and we will help you get started. Below we will highlight some key elements of this new integration.

Flyntlok supports adjusting inventory details in Shopify from our Flyntlok Item Dashboards. Flyntlok also supports synchronizing your inventory quantity with Shopify. Once you have linked your Shopify items, Flyntlok will routinely update your Shopify Items including pricing, weight, and inventory information to ensure the data is synched correctly.

Once you have configured your inventory to be synched with Shopify (again, please work with your Flyntlok consultant if you need assistance here), Flyntlok will be able to ingest orders placed through your Shopify storefront into our Point of Sale system. The associated customer's contact information will be pulled from the Shopify order and saved within Flyntlok. This means you can manage your Shopify orders the same way you manage all other orders today. This includes the fulfillment of orders in Flyntlok, synching back up with Shopify, and synching the shipping details from Flyntlok to Shopify.

Flyntlok also supplies reports detailing your Shopify inventory from within Flyntlok. This could help discover discrepancies between Flyntlok's information and Shopify's information, if any. While Flyntlok will maintain synchronization between the data in your Flyntlok account and Shopify, users may still find differences when they intentionally break relationships between Flyntlok and Shopify. Some of our customers have even preferred to manage their pricing on Shopify differently than on Flyntlok. Our reports should help you manage these discrepancies.

Service

Automated Work Order Status Changes-(Ticket #FD-2556)

Opportunity:

Service Managers were finding Work Orders where the Status was not changed properly by their users as the Work Order moved along. When the Status is not progressed properly, then it fails to transfer the responsibility to a correct user/department. Rather than having to rely on manual Status changes by the users, Service Managers have requested the ability to automate a Status change on a Service Work Order when certain key actions have occurred and to have the ability to choose the Status the WO will move to when these actions take place. They would like the Work Order to be set to a specific status when the following events occur:

Solution:

We have implemented “Points of Action” within the Service workflow where Status Changes to a WO can be configured based on the WO's current Status. Below is a sample table illustrating before and after statuses based on the trigger events (you can set your own result statuses based on your workflows).

These automatic status changes will only occur if the specified conditions are met. If they are not, no status changes will occur.

Example-

· If my Work Order is in New status and I send an estimate, then move my Work Order to Estimate status

· If my work order is in Parts Requested status and all parts are received, then move my work order to Parts Received status

In the future, Flyntlok will create a kick-arse front-end utility for our customers to make all of these configurations on their own. However, we wanted to give you folks this Status Change capability sooner rather than later. And so, to that end, you need to work with your Friendly Flyntlok Consultant to get these workflows setup. Give them a call!

Work Order Worksheet-(Ticket #FD-2575)

Opportunity:                     

Service Managers have requested that we add a printable "Worksheet" to the Work Order Dashboard so that a Service Technician can work off of a paper copy of the WO. They would like for this printed Worksheet to display:

We have added a printable "Worksheet" to the Work Order Dashboard with all of the above details.

   

Remove Work Order Fees for Internal Customer -(Ticket #FD-2598)

Opportunity:                     

We recently released a new feature to the Work Order Creation page that prevents fees from being added to a new Work Order if the associated customer is an Internal Customer. Service Managers using this feature have requested that we also add a warning to the Work Order Dashboard if the original customer of a WO is changed to an Internal Customer from a standard customer and there were fees applied to that WO.

Solution:

We have added an “Internal Customer- Remove all fees” warning message to the Customer field of the WO’s info tab. This message will display when the original customer of a WO is changed to an Internal Customer and the WO is currently charging fees.

Current Machine Miles/Hours Indicator on Work Order Check-In-(Ticket #FD-2615,46413)

Opportunity:                     

Service Managers had reported issues where their users had logged the associated Machines Hours and Miles incorrectly when Checking-Inon a Work Order and have requested an indicator of the Machine’s actual miles and hours be added to the Check-In modal. They hope this added visual will help prevent (or at least minimize) data entry errors.

Solution:

Flyntlok will now display the current Miles and Hours of the associated Machine below the fields when checking-in on a Work Order.

Purchasing

"Export to Grasshopper" Update-(Ticket #FD-2592)

Opportunity:

We recently released an  "Export to Grasshopper"  feature, allowing users to create a file extract that can be uploaded to the Grasshopper distributor for parts ordering. Purchasing Managers using this feature have requested the export respect any filters applied to the PO, so the export will only contain Items displayed within the filtered results.     

Solution:

We have updated the "Export to Grasshopper" option, and Flyntlok will now respect all filters applied to the Purchase Order and export only the filtered results. We have also moved the"Export to Grasshopper" option from the  drop-down menu and added it to the Icon list displayed on the right side of the PO above the line items.

Mobile View

Filter "All Work Orders" by Tag Number-(Ticket #FD-2638, 46504)

Opportunity:                     

Service managers have requested we add Work Order Tag Number as a filter option to the "All Work Orders" report of the Mobile View.

Solution:

We have added Work Order Tag number as a filter option to the "All Work Orders" report of the Mobile View. When viewing this report on a mobile device users will now be able to manually enter a Work Order Tag number to filter for the exact match.

Accounting

QB Account Formatting Update-(Ticket #FD-2612, 46392)

Opportunity:

Flyntlok Administrators have requested we update the drop-down menus of the QuickBooks Accounting section from the Flyntlok Dashboard edit pages. They would like the account numbers to display before the account names.

Solution:

We have updated the QuickBooks Accounting section of the Machine, Item and Vendor Dashboard edit pages and the QB Account drop-down menus will now display the account number before the account name. Small item, but we aim to keep the people happy!


Issues Resolved This Sprint

Machine Purchase Order "Scan Mode" Error-(Ticket #FD-2592, 46285)

Complaint:

Purchasing Managers using the new "Scan Mode" feature from the Machine Receiving Voucher were unable to scan in new serial numbers due to the "REQUIRED" note that was pre-filled in that field. In the process of receiving/creating Machines on a Machine Voucher, Flyntlok adds the new Machines and sets the serial numbers to “REQUIRED” to indicate that a user should change those serial numbers. Our new "Scan Mode" feature on the Machine Receiving Voucher was skipping Machines that have the “REQUIRED” note in the serial number field.

Cause/Correction:

Fixed. We have Removed the ‘REQUIRED’ note from the Serial Number field of Machines created by MPO.

Wrong Customer Discount-(Ticket #FD- 2601, 46308)

Complaint:

Salespeople had reported an issue where the applied customer Discount Type was not displayed when hovering over the  icon from the Point of Sale. In this scenario, Flyntlok would display a default message of "Customer Discount" when hovering over the icon versus the correct Discount Type that was applied to the Item.

Cause/Correction:

Fixed. Flyntlok will display the specific Discount Type applied to the item.

Called off Machine Is Showing as Available-(Ticket #FD-2605, 46328)

Complaint:

Rental Managers had reported an issue where Machines that had been "Called Off" from an active Rental Contract were showing as "Available" before being checked back in.

Cause/Correction:

Fixed. Called off Machines will remain in a "Rented" status until they have been Checked-In on the Rental Contract. Once Checked-In the Machine status will show as "Available."

CRM

Add Associated Machine/Model to Transactions Created from CRM Lead-(Ticket #FD-2249)

Opportunity:

The “Lead Dashboard” page currently allows Flyntlok users to associate Machines and Models with the CRM Lead. Also, it provides the ability to create new Sales Quotes, Work Orders, and Rental Contracts for the associated/linked Customer. Salespeople have requested that any associated Machines/Models be added to the created transactions.

Solution:

Machines associated with a CRM Lead will be added to Sales Quotes, Work orders, and Rental Contracts generated from the Lead Dashboard; associated Models will only be added to Rental Contracts and Sales Quotes (and not to Work Orders.)

Service

Convert Part Orders to Quotes for Estimate Work Orders-(Ticket #FD-2335)

Opportunity:

Flyntlok currently allows users the option to convert a Work Order into “Estimate” status via the “Actions” button. Users can then send a request to the Customer to review the Estimate and Accept/Reject individual jobs. Service Managers have requested we automatically convert Part Orders associated with Work Orders in an “Estimate” status to a Quote to avoid accidentally processing Parts Orders on "Rejected" Jobs.

Solution:

We have added two new settings to the "Flyntlok Settings" page to improve the Estimate Work Order workflow "Quote Internal Parts Orders Linked To Work Order Estimates" and "Job Processing on Work Order's Status from Estimate to New."

Location Based Work Order Fees-(Ticket #FD-2130, 45197)

Opportunity:           

Service Managers of companies with multiple branch locations have requested the ability to configure Work Order fees based on the branch location.

Solution:

We updated the Work Order fees and user will now be able to specify different Work Order fees based on their different branch locations.

Work Order Machine Tag-(Ticket #FD-2229)

Opportunity:

Service Managers have requested the ability to print Work Order Machine Tags, which can then be attached to individual Machines associated with a Service Work Order. The Machine Tag needs to display information about the Machine and the associated Work Order.

Solution:

We have added a “Print Machine Tag” option to the Work Order button's drop-down menu, allowing users to print a “Machine Tag” that can be attached to Machines associated with the WO. The Machine Tag will display the Date Created, WO ID, Customer Name, and the Machine's ID Number, Model, and Serial Number, along with a barcode that references the WO. The Machine Tag is compatible with 62mm wide labels of variable length and "Brother" Q-series label printers.

 

       

Rental

Send Lease Agreement via SMS Messaging-(Ticket #FD-1377,929)

Opportunity:           

Flyntlok offers users an option to email a "Lease Agreement" to customer contacts to confirm the rates and values of a Rental Contract. Rental Managers have requested the ability to also send the “Lease Agreement” via SMS messaging.

Solution:

We have added an “SMS Lease Agreement” option to the drop-down menu of the Rental Contracts “Actions” button, which will allow users to search saved Customer Contact phone numbers and send the “Lease Agreement” via an SMS text message.

     

Point of Sale

Cash Tendered/Change Due -(Ticket # FD-2227, 45367)

Opportunity:

Sales people using the new "Emergepay" Gravity Payments System have requested we display the "Tendered Amount" and then "Change Due" when applying Cash payments to a Sales Order.

Solution:

We have added the amount "Tendered" and, when applicable, the change due to the details line of the Sales Order and Sales Order PDF for Cash payments.

Searching

Vendor Search Update -(Ticket #FD-2374)

Opportunity:     

Flyntlok users had requested that we create fewer steps for executing certain actions after looking up a Vendor. We recently updated the prefix searcher's Vendor search (V?) results page, to display an  button beside each returned result with several commonly used actions. Our next iteration is to add Vendor's available contact information to the results page.

Solution:

We have added three new fields to the "Vendor" search results page, which will display the Sales, Part, and Service department contact information (when applicable) associated with the "Vendor." We have also moved the ability to "Edit" to the button drop-down menu.

 

Machines

Comments Added to Machine "Sale Price"-(Ticket # FD-2221, 45362)

Opportunity:

Sales people have requested the ability to add a comment or note when setting the “Sale Price” on a Machine. Flyntlok allows users to set the sales price and sale start/end date on individual Machines, but currently does not offer a field to add a comment.

Solution:

We have added a new “Note” field to the "Sale Pricing" modal. Flyntlok will display comments added to the “Note” field in the “Sale Information” section of the Machine's "Finance Information." To set or edit a Machine’s “Sale Pricing,” navigate to the button and select “Sale Pricing” from the drop-down menu.

Mobile View

Email Work Order PDF From Mobile Work order Dashboard-(Ticket #FD-2368)

Opportunity:

Service Managers have requested the ability to send a Work Order PDF via email from the mobile Work Order dashboard.                 

Solution:

We have added an icon to the Mobile Work Order Dashboard, allowing users to email a PDF copy of the Work Order to any saved contacts of the WO customer. The Mobile Work Order email settings will retain the same functionality as the desktop version, providing the option to set  CC and Internal recipients, attach additional files, and send a custom message that will appear in the email's body. To preview the WO PDF, select the "Download" button located at the bottom of the email pop-up modal.

       

Machine Display ID on Reservation PDF-(Ticket #FD-2375, 45682)

Opportunity:           

The PDF document generated from a Machine Reservation currently reflects the Machine’s Internal ID number. Flyntlok users have requested we add the Machine's Display ID number in place of the Internal ID number.

Solution:

We have replaced the Machine ID with the Machine display ID number.

 

Machine Label QR Code redirects to the Mobile View-(Ticket #FD-2362, 45645)

Opportunity:

Flyntlok users have the option to attach QR codes to the "Machine Label" that will direct you to the Machine's Dashboard when scanned on a mobile device. Flyntlok users have requested that the QR codes scanned by a mobile device to redirect users to the mobile version of the Item Dashboard versus the desktop view.

Solution:

QR codes scanned via a mobile device will now redirect the user to the mobile version of the Item Dashboard.

Purchasing

Export PO for Grasshopper-(Ticket # FD-2230)

Opportunity:

Flyntlok users purchasing parts from Grasshopper require a specific CSV/TXT file extract in order to upload these parts to the manufacturer.

Solution:

We have added an "Export for Grasshopper" option to the button's  drop-down menu, allowing Users to extract a file that can then be uploaded to Grasshopper for parts ordering.                    

Add Vendor to Item Purchase Order/Receiving Voucher-(Ticket #FD-2358, 45642)

Opportunity:     

Purchasing Managers have requested we add the Item's Vendor as a column to the Item Purchase Order and Receiving Voucher.

Solution:

We have added a "Vendor" column to the Item PO and Receiving Voucher.


Issues Resolved This Sprint

Campaign Failed to Send SMS Message Indicator-(Ticket #FD-2207, 45345)

Complaint:

Salespeople had reported an issue where users were not being notified when SMS messages were not delivered to the recipient when sending a "Campaign" message from the CRM Hub.

Cause/Correction:

Fixed. Flyntlok will indicate there are unsent messages or invalid phone numbers associated with the sent message via a red "Error" text from the "Sent messages" section of the Campaign Tab. Selecting the Details button will display the invalid phone numbers/ unsent messages.

Unable to Access List View of Customer Owned Machines-(Ticket #FD-2305, 45557)

Complaint:

Flyntlok users had reported an issue where they were unable to access the list view of “Customer Owned Machines” when selecting the “View All” button when on the dashboard of a customer that had an apostrophe (‘s) in the customer name.

Cause/Correction:

Fixed. (Yeah, this seems like pretty random thing to happen, but there are technical and computer nerdy reasons this was happening. But we fixed it.)

Over-Allowance Added to Sales Order Margin Calculation -(Ticket # FD-2219)

Complaint:

Sales Managers have reported an issue where the "Over Allowance" value (the margin between the trade-in value and the actual cost of the machine) taken on a "Trade-In" payment type was correctly accounted for on the "Journal Entries" submitted to QuickBooks Online, but was not being included when calculating the Sale Orders margins within Flyntlok.

Cause/Correction:

Fixed. Over Allowance will now be treated as a cost to the business and is included when calculating internal pricing information on the invoice page (via the icon.)

Filtering for Machines by ID Number Error -(Ticket #FD-2306, 45555)

Complaint:

Flyntlok users were experiencing an issue when attempting to filter for a particular Machine via the ID number in the “Customer Owned Machines” section of the Customer Dashboard. No results were returned.

Cause/Correction:

Fixed. The ID column of the "Customer Owned Machines" section of the Customer Dashboard will filter for the display ID Number  of the Machine.
