Smart Receive Gets Called Up to the Big Leagues
Happy spring from the Flyntlok team! With the NFL Draft kicking off this week, we figured it was only right to make a big pick of our own — Smart Receive is officially moving to open beta. If you've ever stared down a stack of vendor invoices and thought "there has to be a better way," this one's for you. Our AI-powered receiving tool reads your invoices, pulls the key data, and flags anything that doesn't match up — so your parts team can spend less time keying and more time doing, well, literally anything else.
We've also got a new machine cost change audit log to take the mystery out of "why did this number change?", a handful of quality-of-life improvements, and a solid round of bug fixes across tax calculations, SMS estimates, mobile work orders, and more.

New Features
Smart Receive Moves to Open Beta
Some of you may recall our previous work on an AI-empowered feature called, Smart Receive. Smart Receive is Flyntlok's AI-enhanced receiving tool built to streamline your parts receiving process. By uploading a vendor invoice, Smart Receive automatically extracts key data, flags discrepancies, and applies costs — so you spend less time keying in data and more time focusing on getting parts .
We’re excited to announce that after several rounds of development, testing and an alpha release, we’re able to roll out Smart Receive Beta to all interested Flyntlok customers! The tool will capture invoice number, date, due date, item costs and quantities, freight and tax fees–and highlight any discrepancies relative to the original order. A detailed walk-through is available in this guide.
To sign up for the beta, please file a Support Ticket, let us know who on your team should be enabled and whether you’d like us to reach out to schedule a walk-through. And please keep any feedback coming! We expect Smart Receive to provide immediate relief in the manual process of managing invoices, but we’ll continue to refine the technology and workflow based on all of your feedback! Service Calendar Color Coding and Time Elapsed Indicators [#8105]
Opportunity: The ability to change technician task color settings on the service calendar was not previously available, making the distribution of work less visible.
Solution: An action to set technician-level color configurations has been added to the calendar. This expands upon the functionality released last month that added additional actions on the service calendar to hide the filters and work order list sidebar as well as to show a time spent hourglass indicator using the time tracked in the work order jobs.


SMS Opt Out Indicator [#83351]
Opportunity: Customer Twilio SMS opt out status is not indicated on Flyntlok CRM Leads table, leading to confusion when a Customer is opted out and will not receive SMS messages
Solution: The existing SMS Inbox opt out icon indicator was added to the CRM Leads table


Machine Cost Change Audit Log
Opportunity
It has been historically difficult to track machine cost changes in Flyntlok. When a machine's cost changes, the details of that change have been spread across different logs and screens, making it hard to piece together a complete picture. Furthermore, the existing logs from the Machine Dashboard capture more than just cost changes and use field names that you may not recognize, so understanding what actually changed can require guesswork or a support request.
These issues can be especially painful when reconciling cost discrepancies between Flyntlok and your accounting solution, or when trying to answer a simple question like "why did this machine's cost change last week?"
Solution
We have introduced an audit log for machine cost changes on the Machine Dashboard, similar to the price change logs available for items on the Item Dashboard. Each log entry captures:
- Who initiated the change
- When the cost change occurred
- Where the change came from (e.g. Invoice #123, a manual edit)
- Affected cost field(s) (e.g. Freight, Depreciation, Capitalization)
- Old cost and new cost values

Cost changes that were manually entered are flagged with a distinct icon and tooltip, making it easy to identify changes that may not be automatically reflected in your accounting solution.
The Machine Dashboard shows a limited number of recent cost changes. To view the full history, click the "View All" button on the Latest Cost Changes widget, which will take you to a dedicated report for that machine.

Note: These new audit logs will only reflect machine cost changes made after 04/13/2026.
Resolved Issues
Work Order Estimated Tax [#84786]
Complaint: Service managers reported that the estimated tax on a Work Order could sometimes be slightly higher than what was actually charged on an Invoice.
Correction: Negative quantity items were being filtered on the Work Order estimated tax calculation, which has been fixed.
Invoice Tax Rule Manual Changes [#82174]
Complaint: Salespeople reported that manual changes they made to the applied tax rules on an Invoice would not be maintained when other data fields changed. For example, updating the shipping address could trigger an automatic tax rule change which would invalidate their previous edits.
Correction: Fixed. Now, when an Invoice’s applied tax rules are intentionally updated and saved, automatic tax re-application will no longer trigger for that Invoice.
Customer Dashboard Tax Rules Displaying Not Set [#85224]
Complaint: Managers reported that Customers with specific tax rules configured could show as “Not Set” on the customer dashboard.
Correction: Fixed. The Customer dashboard field will now properly reflect the Customer’s tax rule configuration.
Loading Sage Intacct Accounts [#85509]
Complaint: Accountants reported that loading accounts from Sage Intacct could sometimes fail if the account category name was exceptionally long.
Correction: Fixed.
Creating Rental Contract with Customer PO [#85195]
Complaint: Salesperson was unable create a new rental contract because the text entered in the Customer PO field exceeded the allowed length, without a clear explanation.
Correction: Fixed. When the Customer PO field input exceeds 45 characters, the system now displays an error message and highlights the field with a red border, helping guide the user to correct the input.
Missing Shopify Order Field
Complaint: Some Shopify shop maintainers reported that the “Flyntlok Order” field was not being updated when a Shopify Order was ingested into Flyntlok.
Correction: Fixed.
Stock Order Export Returning Partial Results [#85158]
Complaint: Stock order CSV exports were sometimes only returning a partial set of line items instead of the full order.
Correction: Fixed. This issue impacted exporting orders where certain special characters were present in line item data.
Adding Job Templates Failing on Mobile [#84679]
Complaint: Adding job templates to a work order was failing with a "Failed" error message when using the mobile version.
Correction: Fixed.
SMS Estimate Totals Not Including Pick-Up and Delivery Fees [#40636]
Complaint: When sending an estimate via SMS, pick-up and delivery fees were listed at the top of the estimate but were not included in the cost breakdown at the bottom, causing the totals to appear incorrect.
Correction: Fixed. Pick-up and delivery fees are now included in the totals breakdown section of SMS estimates.
Machine Deficiencies Max Attachment Size Handling [#82943]
Complaint: When sending out a machine deficiencies summary email, an email whose size exceeded 30MB would be shown as sent when it actually failed to deliver.
Correction: Fixed. Added validation of email size on the submission attempt to show a failure popup when the message exceeds 30MB.
Archived Sales Orders Missing from Machine Dashboard [#85752]
Complaint: Sales managers reported that on the Machine Dashboard, a machine's associated sales order was not displayed in the "Sale Information" section.
Correction: Fixed. Archived sales orders should now be properly displayed here.
